GENERAL OVERVIEW:

This position provides critical project management support for the planning, procurement, and deployment of medical equipment used in capital construction projects across AHN entities. The role coordinates clinical, technical, design, procurement, construction, vendor, and facility stakeholders to maintain equipment scope, budgets, schedules, logistics, installation, and documentation. The position applies strong organization, communication, and attention to detail to manage multiple projects and improve equipment planning processes, with a minimum of three days per week on-site at a hospital-based CRES office.

ESSENTIAL RESPONSIBILITIES

  • Serve as the primary liaison between CRES Project Management and clinical staff, clinical engineering, supply chain, Network IT, design teams, manufacturer representatives, facilities leaders, and other stakeholders to support seamless healthcare equipment planning and project execution. (20%)

  • Participate in project, user group, CRES, and stakeholder meetings from initiation through closeout to define equipment scope, confirm deliverables, establish roles and responsibilities, and align teams around project schedules, quality standards, and measures of success. (15%)

  • Develop and maintain equipment lists, cut sheets, vendor drawings, milestone budgets, final budgets, delivery schedules, installation schedules, and logistics plans in coordination with project, design, procurement, and construction teams. (15%)

  • Assess existing equipment inventory for reuse, coordinate decommissioning or relocation activities, obtain vendor quotes, support ordering efforts, and partner with Procurement Project Administration to resolve invoice disputes. (10%)

  • Coordinate with IT and clinical engineering to support networking, review nonstandard equipment requests, receive and inspect onsite deliveries, remediate damaged or missing goods, and oversee equipment installation, tagging, and documentation for inspections. (10%)

  • Communicate proactively with project teams, site support teams, facility leaders, jurisdictional authorities, and executive stakeholders regarding project status, construction activities, logistics impacts, schedule risks, disruptions, shutdowns, safety considerations, and emergency response needs. (10%)

  • Identify, recommend, and implement process improvements that enhance equipment planning efficiency and effectiveness; contribute to equipment standards, departmental improvement initiatives, lessons learned, and knowledge transfer across CRES pillars and facilities teams. (10%)

  • Demonstrate accountability, professionalism, reliability, diplomacy, teamwork, and sound judgment while representing AHN, CRES, and Highmark Health and supporting shared project and departmental objectives. (10%)

  • Other duties as assigned or requested.

Q UALIFICATIONS:

Required

  • Bachelor’s degree or relevant experience and/or education as determined by the company in lieu of bachelor's degree.

  • 3 year of experience with Architecture, Engineering, or Construction industry

Preferred

  • Project Management Professional (PMP)

SKILLS:

  • Working knowledge of medical equipment and healthcare processes preferred

  • Demonstrated experience with project management software, including e-Builder and Smartsheet, preferred

  • Proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint

  • Willingness and ability to learn new software applications

  • Excellent written and verbal communication skills

  • Exceptional organizational skills and attention to detail

  • Strong team-oriented approach with a positive and collaborative work style

  • Ability to manage multiple projects, priorities, and deadlines simultaneously

  • Ability to work on-site at least three days per week at a hospital-based CRES office.
