Full job description

Description We are looking for an experienced Tradeshow & Event Manager to lead the creation of a scalable event planning framework for a busy tradeshow portfolio in the wholesale distribution industry. This Contract position will focus on evaluating upcoming events, organizing key operational details, and building practical playbooks that support consistent planning and cost control. Based in St Paul, Minnesota, this role may also extend into selected event execution activities as project needs evolve.

Responsibilities:

  • Review each scheduled tradeshow across a 12-month period and compile complete planning details using historical files, exhibitor guides, and organizer resources.

  • Develop event-specific playbooks that capture vendor contacts, required submissions, cost elements, and operational steps for each show.

  • Break down expenses for booth space, utilities, internet access, flooring, furnishings, exhibit materials, graphics, labor, drayage, lead retrieval, and shipping services.

  • Document booth product and material requirements, including ordering timelines, outbound shipment coordination, on-site needs, and return logistics after each event.

  • Create month-by-month schedules for every show that outline submission deadlines, responsible parties, payment timing, and critical dependencies.

  • Identify opportunities to reduce costs by tracking advance pricing windows, discount deadlines, deposits, installment dates, and potential late charges.

  • Build a master annual calendar that highlights overlapping milestones, high-volume periods, and priority actions across the full event schedule.

  • Provide hands-on support for selected events by submitting registrations and service orders, coordinating with vendors and show organizers, and monitoring expenses against budget.

  • Travel to designated events when needed to help oversee booth installation, on-site readiness, and post-show dismantling and return shipping. Requirements • At least 3 years of experience supporting or managing tradeshows, exhibits, or live events.

  • Strong ability to research event requirements and turn complex details into clear, usable documentation.

  • Proficiency with Microsoft Excel and Microsoft Word for tracking timelines, budgets, and planning materials.

  • Experience coordinating vendors, shipping arrangements, materials handling, and event-related logistics.

  • Working knowledge of budgeting processes, payment schedules, deposits, and cost tracking.

  • Strong organizational and calendar management skills with the ability to manage multiple deadlines across concurrent events.

  • Clear written and verbal communication skills for working with internal partners, suppliers, and event contacts. Innovation starts with people.®
