Key Responsibilities

Provides administrative, office management, and program support for designated area(s) within the institution. Provides front desk coverage, maintains office supplies, schedules meetings, coordinates resources, and maintains accurate records. Assists with administrative processes to support HR functions, timekeeping, building/facilities operations, inventory management, purchasing, etc. Handles data management tasks, prepares reports, and supports budget tracking and procurement.

  • Provide administrative and clerical support to staff and management.

  • Answer phones, respond to emails, and direct inquiries appropriately.

  • Schedule meetings, appointments, and maintain calendars.

  • Prepare, format, proofread, and organize correspondence, reports, and other documents.

  • Maintain accurate files, records, databases, and confidential information.

  • Assist with data entry, document management, copying, scanning, and filing.

  • Coordinate meetings, prepare agendas or materials, and record meeting notes when needed.

  • Assist with office supplies, purchasing, and other routine administrative tasks.

  • Communicate professionally with employees, clients, vendors, and visitors.

  • Support special projects and other duties as assigned.

Qualifications

  • High school diploma or equivalent; additional education or administrative training is a plus.

  • Previous administrative, clerical, or office experience preferred.

  • Strong organizational and time-management skills.

  • Excellent written and verbal communication skills.

  • Proficiency with Microsoft Office or Google Workspace.

  • Ability to handle confidential information with discretion.

  • Strong attention to detail and ability to prioritize multiple tasks.

Work Environment

This position typically involves working in an office environment and may require frequent interaction with staff, management, visitors, and external contacts.

Qualifications

  • High school diploma or equivalent; additional education or administrative training is a plus.

  • Previous administrative, clerical, or office experience preferred.

  • Strong organizational and time-management skills.

  • Expected Attire

  • Business Casual, Employees Are Expected To Wear Neat, Clean, Comfortable Clothing Appropriate To The Professional Nature Of Their Position, Free Of Holes Or Tears.

  • Closed Toe Shoes Are Required

  • Images Or Text On Clothing Should Be Child-appropriate - any Images Associated With Tobacco Use, Drugs Or Drug Use Is Strictly Prohibited And Against The Law. This Includes Clothing, Items Such As Water Bottles, Or Anything Else Visible To Children

  • Clothing Must Be Modest, Not Tight Or See-through. Clothing That Reveals Stomachs, Or Other Private Areas Of Your Body Is Not Allowed

  • Perfume/cologne Should Be Avoided Altogether Or Worn Very Sparingly.

  • Personal Hygiene Is Important, All Staff Are Expected To Maintain Personal Cleanliness By Bathing Regularly And Using Deodorant/antiperspirant To Minimize Body Odors
