Description
We are looking for an Assistant Property Administrator to support the daily management of a residential community in Hayward, California. This role is responsible for maintaining organized operations, supporting residents and staff, and helping ensure the property remains safe, compliant, and financially well managed. The ideal candidate brings strong administrative judgment, property oversight experience, and the ability to coordinate across teams while balancing service, compliance, and budget expectations.
Assistant Property Manager Responsibilities:

Oversee daily property operations to help maintain a secure, well-kept, and resident-focused community environment.

Lead and support on-site staff through hiring coordination, onboarding, training, performance oversight, and day-to-day guidance.

Maintain compliance with housing regulations, fair housing standards, organizational policies, and applicable agency requirements.

Administer resident waitlist activity, move-ins, recertifications, and file maintenance with close attention to accuracy and required timelines.

Coordinate maintenance requests, preventive service schedules, inspections, and vendor activity to keep the property operating efficiently.

Prepare documentation and site records for audits, regulatory reviews, and inspections, ensuring required materials are complete and accessible.

Monitor rent collection, deposits, receivables, and occupancy performance while partnering with leadership on follow-up for delinquent accounts.

Support leasing and outreach efforts in alignment with approved marketing plans and applicable federal, state, and local requirements.

Requirements • High school diploma or equivalent required.

At least 1 year of experience supervising staff in a detail-focused setting.

Previous property management experience is preferred; a real estate license or Certified Property Manager credential is a plus.

Familiarity with affordable housing programs such as Section 8, tax credit environments, or related compliance frameworks is preferred.

Proficiency with Microsoft Office 365 and the ability to learn property management and financial systems quickly.

Working knowledge of administrative and financial processes, including accounts payable, accounts receivable, billing, and budget tracking.
