Full job description
Description We are looking for a detail-oriented Surgery Scheduler to support a busy vascular care team in Asheville, North Carolina. This Long-term Contract position focuses on coordinating surgical procedures, related appointments, and patient communication while helping the care team stay organized and informed. The ideal candidate brings strong scheduling experience in a medical setting, works well with providers and patients, and maintains accuracy when handling insurance, documentation, and electronic records.
Responsibilities:

Coordinate surgical bookings, office visits, and follow-up appointments for vascular surgeons and advanced practice providers.

Arrange procedure dates and times with patients, physicians, hospitals, and outpatient surgical centers to ensure efficient scheduling.

Explain preparation steps, scheduling details, and next actions to patients in a clear and supportive manner.

Confirm patient demographic details, insurance information, referrals, and required documentation before procedures are finalized.

Track and secure prior authorizations and related approvals needed for scheduled services.

Maintain current provider calendars and surgery schedules, updating changes promptly in the electronic medical record system.

Verify that medical records, diagnostic results, surgical clearances, and all necessary paperwork are completed before the procedure date.

Notify patients and clinical staff of cancellations, rescheduled cases, or other timing adjustments, and help resolve scheduling conflicts across teams.

Enter and manage accurate patient and scheduling information in the EMR while protecting confidentiality and following organizational standards. Requirements • At least 2 years of experience in surgery scheduling, medical scheduling, or a closely related healthcare administrative role.

Demonstrated ability to manage patient scheduling for procedures, appointments, and follow-up care in a clinical environment.

Experience verifying insurance coverage, processing referrals, and coordinating authorization requirements.

Working knowledge of electronic medical record systems and accurate data entry practices.

Strong communication skills with the ability to interact effectively with patients, providers, hospitals, and internal staff.

High attention to detail and the ability to manage multiple scheduling priorities with accuracy.
