We are seeking a friendly, organized, and patient-focused Practice Assistant II to join the Neurology Stroke Division at Massachusetts General Hospital. In this important administrative role, you'll help ensure smooth and efficient practice operations while supporting patients, providers, and clinical staff in a specialized neurological care setting.

What You'll Do
- Serve as a key point of contact for patients, providing a welcoming and professional experience throughout scheduling, check-in, and check-out.
- Coordinate patient appointments, maintain accurate scheduling records, answer incoming calls, and respond to patient inquiries.
- Process patient billing forms, scan documentation into electronic medical records, and request medical records and laboratory results as needed.
- Manage patient communications related to prior authorizations, provider questions, prescription refills, and test results, ensuring messages are directed appropriately.
- Support daily administrative operations, including preparing schedules, managing correspondence, filing, and maintaining organized patient records.
- Collect co-payments when required and assist with registration and billing processes.
- Serve as a Super User for scheduling, registration, and billing systems, providing guidance and training to colleagues as needed.
- Support more complex administrative functions, including surgical scheduling and provider schedule changes or blocking, as assigned.
- Collaborate with neurologists, clinical teams, and administrative colleagues to support efficient practice operations and a positive patient experience.
Qualifications
- High school diploma or equivalent required.
- 2–3 years of office experience required.
- Certified Medical Administrative Assistant (CMAA) certification preferred.
- Proficiency in Microsoft Office Suite and familiarity with standard office procedures and technology.
- Strong written and verbal communication skills with the ability to communicate effectively with patients, providers, and colleagues.
- Excellent organizational, multitasking, and time management skills.
- Ability to manage routine and non-routine phone inquiries, resolve routine issues, and maintain accurate documentation.
- Ability to follow established protocols, manage competing priorities, and work collaboratively in a busy healthcare environment.
