Full job description

About Overland AI Founded in 2022 and headquartered in Seattle, Washington, Overland AI is transforming land operations for modern defense. The company leverages over a decade of advanced research in robotics and machine learning, as well as a field-test forward ethos, to deliver combined capabilities for unit commanders. Our OverDrive autonomy stack enables ground vehicles to navigate and operate off-road in any terrain without GPS or direct operator control. Our intuitive OverWatch C2 interface provides commanders with precise coordination capabilities essential for mission success. Overland AI has secured funding from prominent defense tech investors including 8VC and Point 72, and built trusted partnerships with DARPA, the U.S. Army, Marine Corps, and Special Operations Command. Backed by eight-figure contracts across the Department of Defense, we are strengthening national security by iterating closely with end users engaged in tactical operations.

We are looking for a Recruiting Coordinator to own the logistics that keep our hiring process running smoothly. This is a full-time, in-office role based in Seattle where you will coordinate interviews, host candidates onsite, maintain our applicant tracking system, and ensure every candidate has a well-organized, welcoming experience from first contact through final decision. The right person for this role is highly organized, detail-oriented, and genuinely enjoys working with people. You will partner closely with our recruiters, hiring managers, and interview panels across engineering, operations, and corporate teams to keep requisitions moving and make sure nothing falls through the cracks. This position is based in Seattle, WA. Key Responsibilities

  • Own interview scheduling end to end, including coordinating across multiple time zones, managing calendar conflicts, and making sure every candidate and interviewer shows up informed and on time.

  • Host candidates during onsite interviews at our Seattle office and create a candidate experience that is warm, professional, and reflective of who we are as a company.

  • Keep candidates and hiring teams informed throughout the process with clear, timely communication. No one should have to wonder what happens next.

  • Maintain data integrity in Rippling (our ATS). Every candidate record, interview scorecard, and status update stays accurate and current.

  • Partner with recruiters and hiring managers to anticipate needs, flag bottlenecks, and keep requisitions moving through the pipeline.

  • Track and report on recruiting metrics (time-to-schedule, pipeline volume, interview completion rates) and surface what is working and what is not.

  • Identify inefficiencies in how we coordinate and fix them. If something can be faster, cleaner, or less error-prone, you take it on.

Minimum Requirements

  • 1-3 years of experience in recruiting coordination, people operations, HR, executive assistance, or a similar high-volume coordination role.

  • Strong organizational skills with excellent attention to detail.

  • Clear written and verbal communication skills, with the ability to keep multiple stakeholders informed without being prompted.

  • Ability to handle sensitive and confidential information (compensation, offer details, candidate feedback) with discretion.

  • Comfort managing a high volume of scheduling requests and competing priorities simultaneously.

  • Proficiency with Microsoft Outlook, Slack, and similar collaboration tools, with the ability to pick up new systems quickly.

  • Proficiency with ATS platforms (we use Rippling).

Desired Experience

  • Experience coordinating interviews or scheduling in defense tech, aerospace, robotics, or another technical industry.

  • Familiarity with cleared hiring processes or recruiting for roles that require U.S. citizenship or security clearances.

  • Experience supporting high-volume recruiting sprints or rapid-growth hiring at a startup.

  • Background in hospitality, events, or other roles where creating a great experience for people was core to the job.

Compensation & Benefits Pay range: $30- $46/hour Actual base salary will be determined on a case-by-case basis and may vary based on the following considerations: job-related knowledge and skills, education, and experience. Overland AI believes in creating a work environment that you look forward to embracing every day. Benefits include:

  • Equity compensation

  • Best-in-class healthcare, dental and vision plans

  • Flexible PTO

  • 401k with company match

  • Parental leave
