Full job description
Description We are looking for a detail-oriented Facilities Assistant to support day-to-day workplace and real estate coordination for a Contract position based in Atlanta, Georgia. In this role, you will help keep office operations organized by managing administrative activities tied to leases, vendors, utilities, and workspace setup. The position requires strong follow-through, excellent communication, and the ability to handle multiple priorities while working with internal teams and external partners. This opportunity is well suited to someone who enjoys creating order, solving operational issues, and ensuring important tasks are completed accurately and on time.
Responsibilities:

Coordinate communication with landlords, service providers, and internal departments to support smooth facilities and office operations.

Maintain organized lease records and verify that documentation is complete, current, and easy for stakeholders to access.

Review real estate and facilities data for accuracy, investigate inconsistencies, and follow through on necessary updates.

Arrange the purchase, delivery, and installation of furniture and workplace equipment for new or existing office spaces.

Track furniture and equipment information in internal asset records to support compliance and inventory visibility.

Request and distribute Certificates of Insurance for office locations as needed to satisfy landlord and vendor requirements.

Assist with vendor and landlord account setup activities related to invoicing and payment processing.

Share finalized lease details with internal business partners so operational and financial teams have the information they need.

Oversee utility start and stop requests and coordinate with external providers to confirm account activation and billing setup.

Support work managed through facilities and service tools, including platforms such as Confluence or Jira Service Management, when applicable. Requirements • Experience in administrative support, facilities coordination, office operations, real estate support, or a related function.

Strong attention to detail with the ability to manage records, documentation, and follow-up tasks accurately.

Proven ability to balance multiple assignments at once while staying organized and responsive.

Effective communication skills for working with internal stakeholders, landlords, vendors, and service partners.

Comfort learning and using business systems related to accounting, lease tracking, service management, asset management, or CMMS platforms.

Customer-focused approach with a dependable sense of ownership and accountability.

Familiarity with facilities coordination tools, conference room support, or computerized maintenance management systems is preferred.
