Analyzes and coordinates office services such as personnel, budget preparation and control, fiscal affairs, equipment utilization, records control, and special management studies.

Major/Essential Functions:

  • Review and monitor of Facilities Maintenance & PT work orders within the computerized maintenance management system including work order close out, time entry review and auditing, and time entry processing

  • Monitor and enter technician time entries on corresponding work orders

  • Maintain records of special event work orders

  • Monitor and review of open purchase orders preventing work orders from closeout

  • Process contract documentation for service and project contracts

  • Assist with funding requests, change order processing, and project documentation audits

  • Maintain project scheduling spreadsheets and project updates for Facilities Maintenance and Project Team

  • Maintain monthly elevator log and monthly billing. Assist with preparation of meeting notes and reports for elevator contractor coordination.

  • Perform other duties as assigned to support the efficient operation of Facilities Maintenance.

Knowledge, Skills, and Abilities:

  • Ability to maintain detailed and accurate databases and project documentation in the CMMS & other computer based platforms.

  • Ability to prepare reports and present information clearly to leadership.

  • Self-Motivated and strong analytical and critical-thinking skills.

  • Strong attention to detail.

  • Ability to work well with campus partners and Facilities Maintenance shops.

  • Ability to prioritize competing assignments while meeting established deadlines.

Required Qualifications:

Bachelor's degree in job related field plus one year of related experience; OR a combination of related education and/or experience to equal five (5) years.

Preferred Qualifications:

  • Experience with CMMS system

  • Familiarity with Facilities management operations, contracts, and project coordination

  • Experience with reporting
