Description

The Facilities Project Assistant supports the coordination and execution of small facility projects and assists with day-to-day project-related tasks as directed by the Facilities Project Coordinator and Associate Director of Facilities Management. This role helps reduce the workload on Maintenance Technicians by handling administrative coordination, material tracking, scheduling, and basic project support functions.

The Facilities Project Assistant works closely with internal departments, vendors, and Facilities staff to ensure projects are completed efficiently, safely, and to the satisfaction of internal customers. This position must adhere to all Safety, Infection Control, and Facilities Management policies and procedures while supporting a safe and functional healthcare environment.

Duties include but are not limited to:

Project Coordination Support

  • Assist the Facilities Project Lead and Associate Director in planning, scheduling, and tracking small facility projects

  • Coordinate with vendors, contractors, and departments to ensure timely completion of work

  • Maintain project documentation, including work orders, schedules, and material tracking

  • Communicate project updates to leadership and stakeholders

  • Support compliance with safety standards, building codes, and ILSM requirements

  • Assist with procurement of materials and supplies with cost awareness

  • Monitor project progress and escalate concerns as needed

Facilities and Maintenance Support

  • Assist Maintenance Technicians with non-technical and preparatory tasks

  • Organize tools, materials, and job sites for efficient workflow

  • Perform basic maintenance tasks within the scope and skill level

  • Support inspections, minor repairs, and facility upkeep as directed

  • Maintain accurate maintenance and project records

Administrative Support

  • Maintain project files, logs, and tracking systems

  • Track work orders and assist with prioritization

  • Coordinate communication between Facilities and hospital departments

  • Prepare reports and updates for the Facilities Project Lead and Associate Director

Other Duties

  • Assist with facility and grounds-related tasks

  • Support departmental initiatives and projects

  • Perform other duties as assigned and needed (ADD)

Hours/Shifts

80 hours biweekly, mainly day shifts with on-call and weekend rotation.

Compensation

The pay range for this position is $21.10-29.08/hour. Please note that final compensation will be determined based on experience, qualifications and internal equity considerations.

Qualifications

Requirements are representative of minimum levels of knowledge, skills, and/or abilities.

  • High school diploma or equivalent required

  • 2–5 years of experience in facilities, maintenance, construction support, or project coordination preferred

  • Basic knowledge of construction, maintenance practices, and building systems preferred

  • Ability to read basic blueprints and project documents (preferred)

  • Strong organizational, communication, and computer skills (Microsoft Office or similar)

  • Knowledge of safety practices and awareness of Interim Life Safety Measures (ILSM) preferred
