The Associate Director of Medical Records provides operational leadership for the Medical Records Department and supports organization-wide documentation, record management, and electronic medical record processes. This position oversees daily medical records operations, ensures compliance with applicable regulatory requirements, supports audit readiness, and collaborates with Compliance, Information Technology, and operational leaders to improve documentation processes and system workflows. The Associate Director provides leadership to assigned staff, monitors departmental performance, and serves as a resource for medical record requirements, confidentiality standards, and regulatory expectations.

Essential Duties & Responsibilities:

  • Oversees the daily operations of the Medical Records Department across all organizational locations and programs.

  • Supervises assigned Medical Records staff, providing leadership, coaching, performance management, and professional development.

  • Ensures timely and accurate completion of medical record requests, releases of information, record processing, scanning, indexing, and record maintenance activities.

  • Ensures compliance with applicable federal and state regulations, including HIPAA, OMH, OASAS, CCBHC requirements, and organizational policies related to medical records.

  • Develops, maintains, and evaluates departmental procedures related to medical record processing, confidentiality, documentation requirements, and record retention.

  • Monitors medical record workflows and identifies opportunities to improve efficiency, accuracy, and compliance.

  • Collaborates with Information Technology and system stakeholders regarding electronic medical record workflows, system enhancements, access needs, and process improvements.

  • Supports organizational compliance efforts through documentation reviews, audit preparation, regulatory readiness activities, and monitoring of corrective actions.

  • Partners with the Compliance Department on documentation-related compliance initiatives, including audits, investigations, trends, and improvement opportunities.

  • Assists with regulatory surveys, external audits, record requests, and responses to documentation-related findings.

  • Provides education and training related to medical record processes, confidentiality requirements, documentation standards, and electronic record workflows.

  • Participates in organizational committees and workgroups as assigned.

  • Reviews departmental productivity metrics, identifies trends, and prepares reports for leadership as requested.

  • Collaborates with program leadership to address documentation challenges and improve compliance with record requirements.

  • Supports implementation of changes impacting medical records processes, including regulatory updates, system changes, and organizational initiatives.

  • Serves as a resource to employees and leaders regarding medical record procedures, confidentiality requirements, and documentation expectations.

  • Assists with departmental staffing, workload planning, and resource allocation.

  • Performs other duties as assigned.

Skills & Qualifications:

  • Bachelor’s degree in related field required

  • Strong communication and engagement skills required

  • Detail-oriented

  • Ability to work with a diverse group of people required

  • Valid NYS driver’s license and reliable transportation required for regional travel
