Full job description
Description We are looking for an experienced and service-driven Workplace Experience Coordinator - Level 2 to support day-to-day front desk and event operations in New Jersey. This is a Long-term Contract position requiring an in-person presence and the flexibility to work between two nearby office locations based on weekly business needs. The person in this role will help create a welcoming workplace for employees and visitors while ensuring meetings and on-site events are organized, supported, and executed smoothly.
Responsibilities:

Coordinate meeting and event schedules, confirm key details in advance, and keep reservation records accurate and up to date.

Partner with facilities, audiovisual, catering, security, janitorial, and other internal teams to prepare spaces for daily meetings and special events.

Review upcoming event activity, identify missing information, follow up on open items, and maintain clear documentation for each program.

Create and manage service requests such as room setups, furniture moves, porter support, and other workplace work orders tied to event needs.

Provide on-site event support by assisting with pre-event walkthroughs, signage placement, guest direction, line flow, vendor coordination, and post-event documentation.

Organize event files and maintain materials such as planning documents, photos, standard operating procedures, and related reference resources.

Oversee room setup, supply delivery, and breakdown activities to ensure spaces are ready before events begin and restored afterward.

Follow building security and emergency protocols and promptly notify the appropriate contacts when safety concerns or urgent issues arise.

Support workplace operations at either assigned office location as directed by management, with weekly schedules adjusted to meet business demands. Requirements • High school diploma or equivalent with up to 2 years of relevant experience in workplace services, front desk support, hospitality, or event coordination.

Ability to follow established procedures and complete routine tasks with consistency and attention to detail.

Clear verbal and written communication skills for sharing information with employees, guests, vendors, and internal teams.

Working knowledge of Microsoft Office applications, including Outlook, Word, and Excel.

Strong organizational abilities with the capacity to manage multiple schedules, documents, and service requests at once.

Customer-focused approach with a detail-oriented presence in an in-person office environment.
