Job Description

The Associate Director, Business Operations is a senior ePMO leader responsible for overseeing the execution of complex enterprise initiatives while ensuring operational excellence across project portfolios. They align programs with the strategic priorities, provide governance leadership, and partner with executives to drive decision-making, resource allocation, and organizational transformation. The role leads delivery operations by managing portfolio performance, resource planning, risk mitigation, and adherence to project management standards and tools. This leader is also responsible for developing and mentoring project and program management teams, fostering a culture of accountability, continuous improvement, and delivery excellence. Additionally, they track enterprise program outcomes through performance metrics, financial oversight, and executive reporting while advancing ePMO methodologies, governance frameworks, and change management practices.

Strategic Oversight & Enterprise Integration

  • Lead planning and execution of large-scale, cross-functional enterprise programs supporting the enterprise priorities and institutional goals.

  • Serve as a senior point of contact for transformation initiatives spanning ePMO portfolios (Information Solutions, Operations, and Construction).

  • Ensure enterprise work is aligned to strategic initiatives (e.g., innovation, community impact, workforce transformation) and is positioned for successful adoption. Leadership, Governance & Stakeholder Management

  • Partner with executive sponsors, C-suite leaders, and steering committees to guide decisions, escalate risks, and resolve cross-functional barriers.

  • Chair or co-chair governance forums to drive prioritization, resourcing decisions, and enterprise transparency.

  • Build trusted relationships across academic, clinical, research, and operational groups to ensure accountability and momentum. Delivery Operations, Resource Alignment & Execution Management

  • Provide direct leadership for delivery execution across assigned portfolios, ensuring projects remain aligned to scope, timeline, budget, and quality expectations.

  • Lead capacity planning, project assignments, and resource balancing across a matrixed environment to support portfolio demand.

  • Facilitate project status reviews and escalation management; drive risk mitigation and delivery recovery plans when needed.

  • Ensure adherence to ePMO policies, documentation standards, and expected tool hygiene (e.g., ServiceNow/Smartsheet updates). Team Leadership & Talent Development

  • Lead, mentor, and develop PM leaders and project managers , reinforcing accountability and continuous improvement.

  • Build internal project management capability through coaching, performance feedback, development planning, and support of the ePMO career ladder.

  • Promote a culture of delivery excellence and practical innovation across the project management function. Portfolio and Program Performance

  • Develop and operationalize performance metrics to track progress, value realization, benefit delivery, and delivery health across enterprise programs.

  • Monitor financials, risk exposure, and program interdependencies across capital and non-capital initiatives.

  • Lead enterprise-level reviews and executive updates with clear, actionable reporting tailored for senior leaders. Process & Methodology Development

  • Serve as a thought leader in evolving ePMO standards, governance frameworks, and delivery practices to improve consistency and outcomes.

  • Champion effective use and adoption of integrated PPM tools (e.g., ServiceNow, Smartsheet) for reporting, resource planning, and delivery tracking.

  • Champion change management and benefits realization as core expectations of enterprise delivery.

Skills and Requirements

  • Bachelor’s degree in business administration, Healthcare Administration, Project Management, or related field preferred; or equivalent experience.
  • 8 – 10+ years of progressive program/project/portfolio management experience, including leadership of complex, enterprise-level initiatives.
  • 5+ years of leadership experience in a PMO or large matrixed organization; experience supervising and developing project managers strongly preferred.
  • Demonstrated experience in healthcare and/or IT delivery environments, ideally spanning multiple domains (IS, Operations, Facilities/Construction).
  • Proven ability to influence senior leaders, manage risk, drive outcomes, and communicate crisply in executive forums.
  • Deep familiarity with portfolio management practices, enterprise reporting, and PPM tools.
  • PMP (preferred); PgMP/PfMP a plus; SAFe/Agile/Lean Six Sigma certifications strongly preferred.
  • EPIC experience
