Job Description

Hours: Part-Time - 35 Hours

Work Location: 30-30 Thomson Avenue, LIC, NY 11101

College Aides are permitted to work up to 17 hours per week during the school year, and full time (35 hours) during the summer. Please note you must be a student enrolled in an accredited college or graduate school to be eligible for the position.

The New York City Department of Design and Construction is seeking a college-level intern to support the Finance and Administration team within the Office of the Deputy Commissioner of IT, Data Analytics, and Project Controls. Reporting to the Director of Finance and Administration, the intern will provide administrative and analytical support across three focus areas: equipment and asset inventory management, policy and Standard Operating Procedure (SOP) documentation, and budget tracking.

This is a hands-on opportunity for a student pursuing any field of study, with an interest in public service or local government, to gain direct exposure to how a NYC capital agency manages its internal operations, procurement pipeline, and budget process working alongside the team's administrative and financial staff on real, ongoing work.

The intern will work closely with the Finance and Administration team and will have the opportunity to build practical skills in public-sector budgeting, procurement, and data tools such as Excel and Airtable, with guidance and mentorship from experienced staff throughout the assignment.

This role includes exposure to internal budget, procurement, and personnel-related records, which the intern will be expected to handle professionally.

Responsibilities

  • Help build out and maintain the division's IT Asset Tracker, a hardware and equipment database covering laptops, desktops, tablets, and monitors keeping device, staff assignment, and purchase order records current and accurate.

  • Support periodic reconciliation audits comparing tracked equipment against what's on hand and help resolve discrepancies.

  • Help track new hardware from purchase order through delivery and assignment to staff.

  • Assist in drafting and formatting new internal process documents covering workflows such as onboarding/offboarding or procurement intake using the team's established policy template and style.

  • Help keep the division's growing library of internal process documents organized and consistently formatted.

  • Assist with Personal Services / Other Than Personal Services (PS/OTPS) budget tracking spreadsheets, flagging variances for review.

  • Help organize and file internal budget and procurement backup documentation.

  • Assist with data entry and maintenance of administrative tracking systems, including the staff roster and HR action tracking.

  • Provide light research support (e.g., vendor or rate comparisons) and help prepare materials for internal team meetings.

Additionally, educational credentials must be from a U.S. Department of Education-recognized accredited institution. Credentials from foreign institutions require independent equivalency verification from an approved evaluation service. A list of providers (fees apply) is available at: https://www.nyc.gov/assets/dcas/downloads/pdf/employment/nyc-dcas-foreign-education-evaluation-guide.pdf.
