Full job description

Description

Do you love being the person who keeps everything running smoothly behind the scenes? We’re looking for a Facilities Coordinator to join our team in Austin on a contract basis and help create a workplace people enjoy walking into every day.

In this role, you’ll be the go-to partner for site leadership, employees, and service providers, keeping the office safe, organized, and service-focused. No two days look the same, and your work will be felt across the whole team.

What you’ll do:

  • Partner with site leadership to keep daily operations humming, from maintenance coordination to occupancy needs and workplace services

  • Walk the office regularly to make sure the space stays clean, functional, and up to standard

  • Stay on top of work orders and respond quickly, with a customer-first mindset and a close eye on compliance

  • Arrange repairs, minor projects, and service requests, then see each one through to completion with clear status tracking

  • Keep vendors, building staff, and internal teams connected so work gets done with minimal disruption

  • Source and coordinate external service providers, supplies, and site resources as needs arise

  • Bring people together by supporting meetings, events, conference rooms, office moves, and employee perks like food service and transportation options

  • Keep site records, operational documents, and access information accurate and organized

  • Contribute to emergency preparedness, safety processes, after-hours response planning, and workplace security

  • Build strong relationships with clients and service partners while helping the site hit its service and performance goals

Requirements

  • • Experience supporting facilities, office administration, workplace operations, or a related function.

  • • Strong customer service skills with the ability to communicate effectively with employees, vendors, and leadership.

  • • Ability to manage multiple requests at once, prioritize tasks, and keep detailed documentation up to date.

  • • Working knowledge of work order coordination, vendor management, procurement support, and office procedures.

  • • Familiarity with compliance, safety, security, and general building operations practices.

  • • Proficiency with standard office technology, including web-based systems and Mac computers.

  • • Comfortable supporting reception-related tasks, access management, mail or courier coordination, and event logistics when needed.

  • • Ability to work collaboratively in a team-oriented environment while maintaining a high standard of service quality.

If you’re organized, responsive, and energized by solving problems and helping people, we’d love to hear from you.
