The Associate Director of Operations for the Extended and Community Learning (ExCL) Center is responsible for overseeing the daily operations of the Center and providing administrative leadership for a wide range of complex functions. These include enrollment management, registration processes, non-degree admissions, program management, community and extended learning initiatives, and student support services.
Reporting to the Director, the Associate Director ensures the effective delivery of programs, services, and operations for non-degree learners, College in High School programing, visiting students, auditors, while maintaining compliance with institutional and accreditation standards. The Associate Director collaborates with Deans, faculty, academic departments, campus community partners, and delivers high-level student and family support, supervises staff, and represents the Center as the Director's designee when needed.

Duties may include:

Overseeing student enrollment, registration, and student management operations for the ExCL Center, including:

Student information and student management systems, including SLATE, BANNER, and Non-Credit Student Management Systems
-
Non-degree admission processes in SLATE, including application review, data entry, and decision processing in BANNER

Application processing, registration activities, and payment procedures
-
Course section creation and related enrollment activities in BANNER
-
Management of enrollment for course auditors
-
Management of day-to-day operations for College in High School Dual Enrollment programming
-
Analysis of business processes and recommendation of technology-driven efficiencies
-
Collaboration with campus departments and partners to align system functionality with business needs

Oversight of the creation, maintenance, and continuous improvement of functional documentation, procedures, and workflows
-
Serving as the primary advisor for non-degree students, providing guidance and support through orientation, academic progress monitoring, retention efforts, and delivery of high-quality customer service to students, families, and community participants

Administering the Cross-Registration process for visiting students
-
Assisting in the development and oversight of Winter and Summer Intersession set-up and enrollment processes

Supporting the SUNY Oneonta Migrant Leadership Academy (SOMLA), Access and Opportunity Program (AOP) Summer Academy, and other similar programs through course development, admissions, and enrollment

Developing and maintain strong relationships with high school administrators, instructors, University Deans, faculty, academic leadership, applicants, and other College in High School partners; serve as the primary point of contact for Dual Enrollment programming and manage communications with applicants

Ensuring compliance with university policies, accreditation standards, and NYS Department of Education Dual Enrollment Agreement requirements, including maintaining accurate and up-to-date MOUs with high school partners, maintaining accurate records, safeguarding data integrity, and ensuring timely deposits and proper financial tracking of program revenue for College in High School programming

Collaborating closely with the Director to support the development, implementation, administration, and continuous improvement of new and emerging ExCL programs, strategic initiatives, and operational priorities

Supervising one Office Assistant and provide operational leadership, guidance, training, mentoring, project oversight, work coordination, and support for office operations

Collaborating with the Marketing and Communications Office to ensure website accuracy

Contributing to budget planning, monitoring, and oversight of program funds, and track, analyze, and report on program performance to support continuous improvement

Providing office coverage as needed, respond to inquiries via phone, email, and in person

Representing the ExCL Center as the Director's designee when needed

Required Qualifications:

Bachelor's degree required
-
Minimum 3-5 years of experience in higher education administration, admissions, enrollment management, registrar operations, or continuing education administration.

Experience with student management systems and operations, student services, program coordination, and supervision
-
Minimum 3-5 years of experience with Banner in a professional environment
-
Working knowledge of FERPA and academic records compliance
-
Knowledge of cash handling procedures, compliance, and enrollment management practices
Additional:

Ability to manage multiple programs, deadlines, and responsibilities simultaneously

Strong analytical, organizational, and problem-solving skills

Strong operations management background
Preferred:

Experience processing student and course data submissions

Demonstrated Banner experience across multiple modules (e.g, Student Registration), with the ability to troubleshoot and implement systems changes

Experience with system implementations, upgrades, and functional testing

Experience working with and serving diverse populations
