The Idaho Department of Health and Welfare, Division of Public Health has an opening for part-time temporary (with benefits) Office Specialist 2 with the Idaho Bureau of Vital Records and Health Statistics office in Boise. The Idaho Bureau of Vital Records and Health Statistics is the official custodian of confidential certificates of birth, death, stillbirth, miscarriage, marriage, and divorce events that occur in the State of Idaho.

If you have an eye for detail, have exemplary data entry and organization skills, enjoy keeping busy, and like helping others we would like to meet you! Duties of this position on the Vital Records Registration team include reviewing certificates for program compliance prior to filing, working with county clerks, hospital birth clerks, medical professionals, and funeral homes to file and correct records, and using Bureau electronic systems to enter and retrieve information. The set schedule for this position will be determined by the successful candidate and their supervisor to include 5 hours per day, Monday through Friday, between 8am and 5pm.

This position is not eligible for telework.

EXAMPLE OF DUTIES:

  • Ensure certificates received for filing are complete per program requirements

  • Data entry of Vital events from physical forms into an electronic database

  • Correspond with county clerks, hospital birth clerks, medical professionals, and funeral homes asking for information regarding the registration of Vital events

  • Explain Bureau policies and procedures

  • Maintain filing of certificates

MINIMUM QUALIFICATIONS:

You must possess all the minimum qualifications below to pass the exam for this position. Please make sure your resume or work history supports your meeting the minimum qualifications for this position. Failure to do this may disqualify you from being considered for this position. It is highly recommended to attach a one-page cover letter to your application to demonstrate how you meet the requirements below.

  • Good knowledge of effective business English usage, spelling, punctuation and grammar. Typically gained by completion of a high school or college English course OR at least six months of experience applying these concepts OR successful completion of a nine month to one year office administration course beyond high school.

  • Experience using alphabetical, numerical or subject filing systems to include: determining file names, setting up new files, classifying, labeling, filing and retrieving. Typically gained by completion of an office occupations course which included hands-on experience in each of the areas listed OR approximately six months of full time work experience using and maintaining filing systems.

  • Experience reviewing documents for compliance with procedures. Typically gained by at least six months of work experience where you were responsible for ensuring forms were properly completed OR successful completion of a nine month to one year office administration course beyond high school.

  • Ability to use a computer to enter and retrieve information. Typically gained by at least six months of full-time work experience.

  • Experience answering a business telephone using knowledge of business telephone procedures and etiquette. Typically gained by at least six months of full-time work experience.

Below is preferred experience. It is not required for the position but applicants with this experience may receive consideration over other applicants.

  • Demonstrated work experience obtaining and safeguarding confidential information. Typically gained by 6 months or more of work experience working with personally identifiable information (PII).

  • Demonstrated work experience working with word processing software to generate business correspondence. Typically gained by 6 months or more of work experience with commercial software.

  • Demonstrated time management and communication skills. Typically gained by 6 months or more of experience in an office or educational setting.
