Description We are looking for an experienced Workflow Coordinator to support a Contract position within a busy law firm environment in Newport Beach, California. This role is ideal for someone who can keep office services running smoothly, coordinate meeting and hospitality needs, and communicate confidently with legal professionals, business teams, and external partners. The successful candidate will bring strong judgment, initiative, and a service-focused approach while managing multiple requests in a fast-paced setting.

Responsibilities:

  • Coordinate daily requests from attorneys, administrative staff, business development teams, and office leadership to ensure office services are delivered accurately and on time.

  • Organize meeting support activities, including room readiness, hospitality arrangements, and follow-up communication for internal and client-facing events.

  • Partner with hospitality personnel and onsite leadership to maintain conference rooms and shared spaces that reflect a high standard within a law firm environment.

  • Oversee workflow across office services tasks, balancing competing priorities and adjusting schedules to meet urgent deadlines when needed.

  • Review incoming assignments, confirm instructions with requesters, and help establish realistic turnaround times while offering alternative solutions when timelines are tight.

  • Track purchasing activity, reconcile credit card expenses, and manage orders for office snacks, supplies, and other operational materials.

  • Provide responsive front-line support for general office needs, including document handling, scanning, mail-related coordination, and phone coverage as required.

  • Serve as a dependable point of contact for vendors and internal stakeholders, resolving issues promptly and escalating concerns appropriately.

  • Use Microsoft Office tools to support administrative and document-related work, troubleshoot routine software issues, and help maintain quality and formatting standards.

  • Work independently to identify service gaps, take ownership of tasks, and support a smooth day-to-day operation across a multi-floor office setting. Requirements • Proven experience in office services, hospitality, administrative support, or workflow coordination within a detail-oriented environment.

  • Strong verbal and written communication skills, with the ability to interact effectively with attorneys, corporate staff, vendors, and leadership teams.

  • Demonstrated ability to manage multiple priorities at once while maintaining accuracy, professionalism, and excellent customer service.

  • Experience supporting meetings, conference room logistics, and hospitality-related needs in a client-facing setting.

  • Ability to work independently, make sound decisions, and take initiative without close supervision.

  • Proficiency with Microsoft Office applications and the ability to handle document-related tasks such as scanning, formatting, and general administrative support.

  • Ability to manage expense tracking, purchasing, and reconciliation responsibilities with attention to detail.

  • Ability to perform physical tasks associated with office support, including lifting materials up to 50 pounds when necessary.
