Full job description

Description We are looking for a detail-oriented Legal Analyst 2 to support lease administration and paralegal operations for a real estate portfolio in Temple Terrace, Florida. This Long-term Contract position focuses on document analysis, financial review, and lease compliance while partnering with clients, landlords, and internal teams to keep portfolio activities accurate and well organized. The ideal candidate is comfortable balancing multiple priorities, interpreting lease terms, and resolving discrepancies with sound judgment in a fast-paced environment.

Responsibilities:

  • Analyze lease-related records and summarize key terms while keeping portfolio data current within designated information systems.

  • Maintain organized document control practices for leases, ownership files, and related records, including scanning, storage, retrieval, and mail distribution.

  • Examine landlord and client invoices against lease provisions, obtain supporting documentation when needed, and verify the accuracy of calculations and charges.

  • Perform desktop reviews of common area maintenance, insurance, and real estate tax reconciliations, identify billing issues, and coordinate dispute resolution with landlords.

  • Administer subtenant activities by tracking monthly rent, processing pass-through charges, and supporting year-end reconciliation activities.

  • Communicate important dates, policy-related updates, and response details to clients and business partners while handling property and lease inquiries professionally.

  • Review estoppels and subordination or non-disturbance agreements to confirm alignment with lease obligations and negotiated terms.

  • Prepare financial and critical-date reporting, document savings or exceptions, research root causes, and recommend corrective actions to leadership.

  • Support special assignments, contribute to process documentation and playbooks, and provide guidance to team members on portfolio administration tasks. Requirements • 2-4 years of experience in paralegal, lease administration, legal analysis, or commercial real estate support work.

  • Working knowledge of lease documents, invoice validation, reconciliations, and property-related financial obligations.

  • Experience handling document management activities such as scanning, record storage, file retrieval, and controlled document organization.

  • Ability to interpret contractual language, review supporting backup, and identify discrepancies requiring follow-up or resolution.

  • Strong organizational skills with the ability to manage multiple deadlines and shifting priorities in a fast-paced setting.

  • Effective communication skills for working with clients, landlords, subtenants, and internal stakeholders.

  • Proficiency in auditing charges related to insurance, taxes, and operating expenses, with sound judgment in resolving issues.

  • Demonstrated ability to assist with reporting, special projects, process improvements, and team support responsibilities.
