Position Summary:

The Engineering Coordinator is responsible for coordinating day-to-day engineering operations and administrative support activities for the Liquid Cooling engineering team. This role improves team efficiency by maintaining organized project information, supporting documentation, coordinating materials and prototype inventory, and facilitating cross-functional communication.

The position supports engineers and designers by maintaining project folders and records, using Microsoft 365 and ERP systems, coordinating prototype material status with purchasing and receiving, assisting with certification activities, and preparing clear technical documentation as needed.

Key Responsibilities:

  • Coordinate engineering meetings, book conference rooms, maintain team calendars, and support agenda preparation

  • Maintain organized project folders, engineering records, templates, and team documentation in SharePoint/Teams

  • Support document control, version tracking, and release/readiness documentation

  • Use Microsoft 365 tools to maintain trackers, prepare documents, communicate updates, and support team collaboration

  • Use ERP systems to monitor engineering materials, prototype parts, purchase requests, and order status

  • Maintain prototype inventory records and coordinate with purchasing and receiving to verify materials have arrived and resolve discrepancies

  • Interface with engineers, designers, purchasing, receiving, operations, vendors, suppliers, and other stakeholders to support engineering activities

  • Support certification and compliance activities, including documentation, scheduling, submissions, and status tracking

  • Assist with technical writing, including procedures, work instructions, reports, test documentation, manuals, and other engineering content

  • Support customer and supplier meetings, department visits, engineering events, and continuous improvement of engineering team operations

Qualifications & Requirements:

Required:

  • Associate’s or Bachelor’s degree in Business, Engineering, Engineering Technology, Project Management, Technical Communication, or related field (or equivalent experience)

  • 3+ years of coordination, document control, inventory, administrative, or technical writing experience in an engineering, manufacturing, or technical environment

  • Experience supporting cross-functional teams, maintaining accurate records, and managing multiple priorities

  • Strong organizational and document management skills

  • Proficiency in Microsoft 365, including Excel, Word, PowerPoint, Outlook, Teams, and SharePoint

  • Excellent written and verbal communication skills

  • Ability to coordinate materials, documentation, schedules, logistics, and competing priorities in a fast-paced environment

  • High attention to detail with strong follow-through and ownership

Preferred:

  • Document control, technical writing, inventory coordination, ERP, or similar certification/training

  • Experience supporting hardware engineering, product development, or manufacturing programs (preferred in cooling, HVAC, or similar industries)

  • Familiarity with UL certification or regulatory compliance processes

  • Experience with ERP systems, procurement, inventory tracking, supplier coordination, order tracking, or receiving processes

  • Basic understanding of engineering documentation, configuration control, bills of material, and product release processes

  • Experience in engineering operations, document control, technical writing, compliance support, or materials coordination environments
