Full job description
The Licensing Assistant will be responsible for supporting the Licensing Manager in the maintenance and renewal of business and operational licenses for Topgolf venues and other business lines where necessary, while ensuring compliance with federal, state, and local regulations and ordinances. Position will work with regulatory agencies, government officials, external consultants and internal departments to help ensure the company’s compliance with all federal, state and local authorities regarding licensing and permitting.
Job Responsibilities
- Assist with obtaining, maintaining and renewing licenses: Collect relevant information from internal departments, prepare applications, obtain license fee payments, and prepare mailings.(50%)
- Utilize licensing software: File licensing applications and renewals, track progress, and provide status reports to Licensing Manager.(20%)
- Plan and coordinate timely license and permit renewals: Anticipate renewals, receive licenses, follow-up for renewal applications, complete and file applications.(20%)
- Manage Music Licensing companies: Work with Ops, Marketing, and Partnerships on DJs and Live Music needs, complete annual reporting and invoicing.(10%)
Critical Skills & Experience Requirements
- Strong organizational skills
- Excellent interpersonal skills
- Ability to use independent judgment to resolve a variety of issues, both over the phone and in writing
- High level of integrity to handle confidential and highly sensitive information
- Willingness to support multiple team members and handle a variety of tasks
- Strong working knowledge of Microsoft Office (Word, Excel, Outlook)
- Bachelor’s Degree or equivalent work experience (Required)
- 3+ years of administrative support or similar professional experience (Preferred)
