The Role

The Senior Events Coordinator at Avalere Health supports Events Managers in the delivery of specific elements of meetings across the group. The Senior Events Coordinator is responsible for taking the lead on smaller meetings or repeat projects once mastered (e.g. advisory boards, small investigator meetings and preceptorships where client relationship is established, or experience of event format exists) with appropriate guidance from senior team members. This role includes attending approximately 12 domestic/Latin American meetings per year. You'll have the opportunity to take ownership of smaller events and repeat projects while developing your event management expertise within a fast-paced client environment.

What you'll do

  • Coordinate a range of in-person and virtual events, from planning through to onsite delivery and post-event wrap-up.

  • Manage attendee and speaker communications, registrations, and meeting logistics.

  • Arrange and book faculty/delegate flights in line with client travel policies and arrange visa applications, where necessary, in accordance with company policy.

  • Work closely with clients, venues, suppliers, and internal teams to ensure events are delivered smoothly, on time, and within budget.

  • Provide onsite support at events across the Americas, acting as a key point of contact for attendees and stakeholders.

  • Oversee event administration, including financial tracking, supplier management, compliance requirements, and reporting.

  • Support multiple projects simultaneously while maintaining exceptional attention to detail and a high standard of client service.

About you

  • High School Diplomas or Bachelors Degree.

  • At least 2 years' of events experience within a corporate environment, ideally within a medical communications agency, pharmaceutical company, or events agency.

  • Experience supporting a range of events, such as advisory boards, investigator meetings, preceptorships, congresses, exhibitions and standalone events, in person and virtual is advantageous.

  • Strong working knowledge of Microsoft Outlook, Word, Powerpoint and Excel.

  • Excellent verbal, written and face-to-face communication skills.

  • Strong organisation and attention to detail, with the ability to manage multiple priorities and work accurately under pressure.

  • Able to use initiative, understand and act on requests, meet agreed deadlines and work effectively within events and account teams.

  • A dependable team contributor with a high level of accountability and a constructive approach to feedback and collaboration.

  • Willingness to travel for domestic, international events approximately up to 12 times per year.
