Full job description

Join our Events team and earn $25 per hour!

The County Administrative Office, Communications Group is recruiting for an Events Assistant - Public Service Employee (PSE). The incumbent will support the planning, coordination, and delivery of Countywide events, meetings, ceremonies, conferences, and community outreach activities, along with related administrative and guest-service functions.

Duties include, but are not limited to, the following:

  • Assist with planning and preparing Countywide events, meetings, ceremonies, conferences, and community outreach activities; maintain event timelines, planning documents, task lists, deadlines, and event files.
  • Assist with data entry, attendance tracking, surveys, event reports, spreadsheets, presentation, correspondence, meeting materials, meetings notes, proofreading, and general office support.
  • Gather quotes for items to purchase, secure rentals, and assist with vendor coordination, event rentals, supply inventory, deliveries, and organization of event materials.
  • Assist with preparation for and logistics support during events, including venue research, meeting preparation, setup, event operations, breakdown, equipment, supplies, signage, registration materials, and seating arrangements.
  • Assist with maintaining the event equipment inventory for County events and help organize equipment and supplies for transport and use.
  • Greet attendees and provide customer service; assist staff, volunteers, vendors, speakers, VIPs, and guests as directed.
  • Assist with event registration, RSVP tracking, name badges, guest lists, seating charts, and speaker/VIP/guest logistics under staff direction.
  • Drive County vehicles, including vans and small trucks, to transport event equipment and supplies.
  • Participate in post-event debriefs and assist with recordkeeping and preparation of materials for future events.
  • Other duties as assigned.

CONDITIONS OF EMPLOYMENT

Pre-Employment Process: Applicants must successfully pass a background check, which includes fingerprints and a medical exam.

Travel: A valid California Class C driver license is required to carry out the essential job-related functions of this position. Mileage reimbursement and proof of automobile liability insurance must be maintained. This position may also be required to drive County vehicles, including vans and small trucks, to transport event equipment and supplies.

Working Conditions: Working outdoors and lifting up to 40 (forty) pounds may be required occasionally to support event operations.

Work Schedule: Schedule is typically Monday through Friday, 40 (forty) hours per week; hours may vary depending upon business needs.

Public Service Employee (PSE): Public Service Employees are considered at-will, temporary positions. PSEs do not gain regular status and assignments will not exceed twelve (12) months.Applicants must meet one of the options listed below.

OPTION 1

Education: Associate's degree from an accredited college in public or business administration, public relations, hospitality and events management, recreation administration, marketing, communications, or other relevant field. OPTION 2 Experience:Three (3) years of event planning, coordination, or event operations experience. DESIRABLE SKILLS

Microsoft Suite (Excel, Outlook, Word) Event planning/logistics, customer service, registration and guest support, and inventory coordination.

The ideal candidate will possess:

  • Exemplary organizational and time management skills

  • Impeccable written and verbal communication

  • High customer service focus with competence in computer usage, phone etiquette, and interpersonal relations

  • Strong work ethic and thrive in a team oriented environment.

Experience supporting events, meetings, ceremonies, conferences, or community outreach activities is highly desired.
