Requirements

Director, Workplace Services: This Is Where You Come In

We’re looking for a strategic, people-first leader to take ownership of MacDonald-Miller’s physical work environment — across 16 locations in Washington and Oregon. As Director of Workplace Services, you’ll report directly to our Chief Administrative Officer and lead a team of seven people who keep our offices running, our projects moving, and our employees supported from day one to every day after. This is a high-visibility, high-impact role for someone who thrives at the intersection of operational excellence, and employee experience.

Top Deliverables for Success

Lead the Real Estate Portfolio

  • Lead long-range space strategy across all leased locations — lease events, renewals, site decisions, and future growth planning.

  • Manage MacMiller’s commercial real estate broker relationship: RFP processes, market intelligence, letter of intent negotiation, and lease execution in partnership with the CAO.

  • Evaluate and recommend site additions, consolidations, and relocations as we grow.

Govern the Budget and Vendors

  • Own the full WPS budget (OPEX and CAPEX) — set targets, manage monthly variance reporting, and drive cost optimization.

  • Lead vendor strategy and contract governance for all WPS providers: janitorial, security, utilities, and beyond. Negotiate MSAs, enforce SLAs, and run business reviews.

  • Build financial business cases for capital investments and lease decisions, keeping the CAO and Finance partners informed.

Deliver Capital Projects and Tenant Improvements

  • Own delivery of larger TI and capital projects across the portfolio — build-outs, consolidations, relocations, and major refreshes.

  • Define scope and budget with the CAO and Finance; manage design resources, general contractors, and construction teams.

  • Govern budget, schedule, and change orders; negotiate TI allowances; lead project closeout and post-occupancy review.

Lead Business Continuity and Emergency Preparedness

  • Own the business continuity and disaster recovery (BCDR) program for all locations — site-level continuity plans, workspace recovery strategies, and crisis communication protocols.

  • Partner with IT, HR, Marcom, and Legal on enterprise BCDR planning; lead annual testing and tabletop exercises.

  • Serve as the WPS incident lead during facility disruptions.

Be the WPS Partner the Business Can Count On

  • Serve as the primary WPS liaison to IT, HR, Legal, Finance, and business unit leaders — aligning workplace strategy with headcount growth, hybrid work policy, and regional expansion.

  • Develop, coach, and retain a team: set goals, manage performance, and build a culture of operational excellence and employee-centric service.

  • Use technology and lean practices to scale team capacity as MacMiller grows.

Elevate the Travel and Employee Experience Program

  • Own the company travel program at the governance level: set policy, monitor performance and spend via Egencia, and ensure effective traveler support.

  • Partner internally to set standards across travel, internal events, office experience, and regional coordinator programs.

  • Ensure a consistent, high-quality employee experience across every MacMiller office location.

Role & Impact

The Director, Workplace Services is a strategic and visible leader who shapes how MacMiller’s people experience their workplaces every day. From lease negotiations to office move-ins, emergency preparedness to team celebrations, this role touches every corner of our physical operations and employee experience. Success here means our offices run smoothly, our people feel supported, our real estate portfolio is optimized, and our team is positioned to grow with the company.

Your Background: What Kind of Person Will Thrive in This Role?

You Should Have:

  • Bachelor’s degree in Facilities Management, Business Administration, Real Estate, Construction Management, or related field; equivalent combination of education and experience considered.

  • 8–12+ years of progressive experience in corporate real estate, facilities management, or workplace services, with at least 3 years leading a multi-site portfolio.

  • Demonstrated experience owning a large facilities or real estate budget (OPEX/CAPEX) with direct financial reporting accountability.

  • Proven track record managing commercial real estate transactions, including lease negotiations and tenant improvement projects.

  • Experience managing FM vendors, MSAs, and SLA accountability; strong contract negotiation skills.

  • Familiarity with corporate travel program management (Egencia, Concur, or similar).

  • Strong cross-functional influence and communication skills; able to partner effectively with internal customers across the business.

  • Experience leading high-performing teams with a demonstrated ability to develop and retain talent.

  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Teams); familiarity with facilities management platforms a plus; experience using AI for process and work efficiencies.

  • Professional certifications such as CFM, FMP, RPA, or PMP preferred but not required.

Your Colleagues Will Describe You As:

  • A strategic thinker who doesn’t lose sight of the details — you can negotiate a lease in the morning and unblock a work order escalation in the afternoon.

  • A trusted partner who earns credibility quickly with executives, Finance, Legal, and frontline teams alike.

  • An organized, proactive communicator who keeps stakeholders informed before they have to ask.

  • A calm, decisive leader when things go sideways — whether that’s a facility emergency or a project running over budget.

  • A people developer who takes genuine pride in growing the careers of the people on their team and has a fun time while doing so!

  • Fiscally disciplined — you treat the company’s money like your own and can defend every line of the budget.

You Are Motivated By:

  • Building the kind of workplace that makes people want to come in — and proud of where they work.

  • Solving complex, multi-variable problems that blend real estate, operations, finance, and people.

  • Leading a team and watching them grow into the next generation of WPS leaders.

  • Working for a company that genuinely lives its values and invests in its employees.

  • Being a trusted partner to executive leadership on decisions that shape the future of the company.

  • Driving operational excellence in a way that scales — so the team can keep up as MacMiller keeps growing.
