Summary
This position is located at the VA Augusta Healthcare System in Augusta, GA. Serves as the Secretary for the Deputy Director and performs a variety of administrative and secretarial duties, including but not limited to, independent action to assure timeliness and accuracy of reports, correspondence, etc., and providing a complete range of secretarial, administrative, and personal assistance to the Deputy Director .
Duties
Major duties include but are not limited to: Receives visitors and telephone calls to the office of the Deputy Director ; Maintains the appointment calendar for the Deputy Director and is responsible for ensuring all commitments of Deputy Director are accurate. Ensures Deputy Director is ready for meetings; Performs secretarial duties for the Deputy Director to include typing taking and transcribing dictated material; compiling and preparing replies, committee minutes, and posting calendars. Follows up on action items to ensure timely response; Reviews all incoming correspondence for the Deputy Director to determine accuracy of format, grammar and policy and returns material for revisions prior to presentation. Establishes/maintains filing system for the as Deputy Director Ensuring timely retrieval as requested. Prepares travel arrangements, to include hotel and car rental reservations. Prepares all personnel actions to include access submissions. Notifies supervisory personnel when performance appraisals are due for and ensures Human Resources receives proper submissions. Receives and listens to patient concerns or from individuals on behalf of patients. Prepares reports of contact as necessary. Serves as timekeeper for the Deputy Director and assumes responsibility for that element of the position to include ensuring following timekeeping procedures. Serve as back up for other secretary's during their absence to maintain usual business. Orders and maintains office supplies and equipment; and Performs other related duties as assigned. Work Schedule: 8:00am-4:30pm Monday- Friday (Work schedule subject the change due to agency needs). Virtual: This is not a virtual position. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS 07 position you must have served 52 weeks at the GS 06 The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. Examples of specialized experience would typically include, but are not limited to: Secretary services provide front office support for the Executive Office, primarily assigned to the Office of the Deputy Director. The Secretary is responsible for the daily routing of documentation and for managing phone calls and meetings for the Executive Office. The role requires proficiency in computer programs such as Microsoft Office and Adobe Acrobat. Duties include meeting planning, conference setup and support, processing travel actions, administering timekeeping and leave, creating and editing memos, and occasionally gathering data. Administrative secretary/assistant work to executive management in a health care setting Prioritizing, coordinating support and completing tasks within established timeframes Use of office automation equipment such as computers, telephones, conference equipment, copiers, and fax machines Following complex administrative procedures Experience developing and installing office procedures, policies and practices Use of computer programs, such as Microsoft Office (Word, Excel, and Outlook) Preparation of reports, correspondence, memoranda, and other forms of written communication Interfacing with outside organizations, referring visitors and callers to appropriate staff Instruct others on procedural requirements of a job Serving as a liaison to convey information Assembling/preparing information for a variety of meetings, reports and correspondence at the executive level Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social).
