Job Responsibilities/Duties

Hanford Tank Waste Operations & Closure (H2C) delivers exceptional performance in safely removing, treating, and disposing of tank waste. H2C leads the nation's largest and most complex radioactive waste cleanup, including closure of the legacy waste tanks at Hanford containing 56 million gallons of radioactive and chemical waste.

H2C is seeking an Administrator to jointly support the Prime Contract Management and Legal, Ethics & Compliance organizations. The administrator provides administrative, coordination, document management, and information-management support to both of these departments. This position ensures activities, records, communications, and information resources are accurate, current, organized, and readily accessible. The role works closely with managers and staff to support day-to-day operations in a highly regulated and compliance-driven environment.

Specific duties include but are not limited to:

*Maintain and update the SharePoint sites, ensuring information is current, accurate, organized, and easy for employees to locate.

*Review files, records, and supporting documentation for completeness, accuracy, consistency, proper organization, and adherence to established administrative requirements.

*Responsible for all facets of correspondence including drafting, editing, concurrence, records management, retention, and search and retrieval. Upload to IDMS record system for records storage.

*Serve as primary backup to the Correspondence Clerk for processing all incoming and outgoing correspondence to the Hanford Field Office customer, internal memos, and delegations of authority into the Integrated Document Management System (IDMS).

*Perform routine quality-control reviews of documentation and identify missing, outdated, inconsistent, or incorrect information for correction.

*Provide administrative support to managers and staff, including preparing agendas, coordinating meetings, tracking action items, maintaining calendars, submitting travel requests and expense reports, submitting supply orders and maintaining office supplies, and preparing other materials.

*Assist with document preparation, formatting, proofreading, distribution, and electronic filing and maintain files in accordance with established records-management and document-retention requirements.

*Maintain organizational trackers, spreadsheets, rosters, organizational charts, contact lists, and other administrative databases.

*Gather, organize, validate, and maintain information used for management reports and metrics.

*Coordinate internal communications, such as announcements and newsletters, and other communications for the organizations.

*Assist with onboarding and offboarding activities, including access requests, organizational information, training records, Employee Job Task Analysis (EJTA), equipment coordination, and SharePoint/site access.

*Maintain procedures, templates, forms, guides, frequently asked questions, and other internal resources.

*Monitor shared mailboxes, folders, or other administrative systems and route requests to the appropriate personnel.

*Coordinate meetings and events for the organization, including logistics, invitations, materials, minutes, and follow-up actions.

*Identify opportunities to improve administrative processes, document organization, information accessibility, and overall efficiency.

*Handle sensitive information with appropriate discretion and confidentiality.

*Perform other administrative and organizational duties as assigned.

Required Qualifications

Grade 5:

High School diploma or equivalency (GED) and 5 years clerical experience required.

Grade 6:

High School diploma or equivalency (GED) and 8 years clerical experience required.

Note the essential duties for this grade level are like that of the previous grade level, however the scope of responsibility is larger, and the expected level of performance is increased.

Grade 7:

High School diploma or equivalency (GED) and 10 years clerical experience required.

Desired Qualifications

*Experience supporting a procurement, contracts, project management, engineering, government contracting, legal, or other highly regulated organization preferred.

*Strong proficiency with Microsoft Office, particularly Word, Excel, Outlook, PowerPoint, Teams, and SharePoint.

*Experience maintaining websites, intranet pages, SharePoint sites, or other content-management systems preferred.

*Strong attention to detail and demonstrated ability to identify errors and inconsistencies in documents and records.

*Strong organizational and time-management skills with the ability to manage multiple priorities.

*Excellent written and verbal communication skills.

*Ability to work independently while maintaining strong coordination with managers and team members.

*Ability to handle confidential and sensitive information appropriately.

*Demonstrated commitment to accuracy, customer service, teamwork, and continuous improvement.

*Familiarity with Artificial Intelligence and related IT tools.

Compensation & Benefits

In accordance with the company's philosophy on compensation for exempt and salaried non-exempt employees, H2C takes into consideration a variety of factors when determining initial grade and salary to include assigned job scope and responsibility, a candidate's qualifications as compared to internal comparators performing in a similar role, and the external labor market. A salary offer will be made at the appropriate grade level and within the targeted hiring range posted according to these factors. Note a candidate's prior salary history will not be taken into consideration.

Hiring Range Minimum: $49,688

Hiring Range Maximum: $75,813
