Full job description

Description We are looking for an experienced Executive Assistant to the CFO to provide strategic administrative and operational support in San Antonio, Texas. This role serves as a key partner to the finance leadership team by coordinating priorities, managing sensitive communications, and helping maintain smooth day-to-day operations. The ideal candidate brings sound judgment, financial awareness, and a detail-focused presence while handling confidential matters with discretion.

Responsibilities:

  • Oversee the CFO’s schedule by organizing meetings, resolving calendar conflicts, and aligning appointments with shifting business priorities.

  • Screen incoming messages and requests, determine urgency, and direct items to the appropriate parties for response or follow-up.

  • Prepare high-quality documents such as presentations, reports, correspondence, and briefing materials to support leadership discussions and decisions.

  • Monitor deadlines, meeting outcomes, and project milestones to help keep strategic initiatives and departmental commitments on track.

  • Maintain accurate and well-structured records for contracts, insurance files, financial documents, and internal procedures.

  • Assist with finance-related activities by gathering materials for audits, tax submissions, budget reviews, management reporting, and board-facing presentations.

  • Support administrative processes tied to invoice approvals, expense documentation, purchasing records, and contract coordination.

  • Help administer insurance programs by tracking renewals, collecting required information, issuing certificates of insurance, and following compliance requirements.

  • Partner with internal teams and external advisors such as auditors, attorneys, banks, consultants, and vendors to facilitate finance-related projects and deliverables.

  • Use Microsoft 365, SharePoint, Teams, Excel, PowerPoint, and emerging productivity tools to improve organization, workflow efficiency, and information management. Requirements • Five or more years of experience supporting senior executives or working in administrative, finance, accounting, audit, bookkeeping, or project coordination roles.

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related discipline is preferred.

  • Practical understanding of accounting, budgeting, audit support, insurance administration, compliance, or risk management activities.

  • Strong ability to evaluate incoming requests, set priorities, and manage multiple time-sensitive tasks with accuracy.

  • Advanced proficiency with Microsoft 365 applications, including Excel, PowerPoint, Teams, and SharePoint.

  • Excellent written and verbal communication skills, with the ability to interact effectively with internal leaders and external partners.

  • High level of professionalism, discretion, and judgment when handling confidential financial, legal, personnel, and organizational information.

  • Experience in nonprofit, banking, public accounting, or financial services environments is a plus.
