Full job description

This position serves as a detail-oriented Logistics Coordinator responsible for managing domestic and international shipping activities from order preparation through final delivery. The role coordinates shipments, prepares and maintains export documentation, ensures compliance with import and export regulations, and partners closely with internal departments to support customer delivery requirements. The successful candidate brings hands-on experience in logistics, transportation, export documentation, and ERP systems, and consistently maintains accurate records and clear communication with carriers, customers, and internal stakeholders.

Responsibilities

  • Coordinate and schedule domestic and international shipments to ensure on-time delivery of parts, products, and larger equipment or kits.

  • Prepare and process all required shipping documentation, including commercial invoices and export-related documents, in accordance with applicable regulations and company procedures.

  • Arrange transportation with carriers, manage carrier services, and monitor shipment status to proactively identify and resolve delivery issues.

  • Generate, apply, and verify proper shipping labels and documentation on all outbound shipments.

  • Maintain accurate shipment records, order documentation, and transportation files to support traceability and audit requirements.

  • Reconcile shipping invoices with accounting records and assist in resolving billing discrepancies with carriers or internal departments.

  • Distribute shipping and invoice documentation to customers, internal departments, and company records in a timely and organized manner.

  • Ensure compliance with company procedures, international trade requirements, and relevant import/export regulations in all shipping activities.

  • Partner with Purchasing, Manufacturing, and other internal teams to support export compliance initiatives and continuous process improvements.

  • Assist with product classifications, country-of-origin determinations, and other trade compliance requirements as needed.

  • Support planning and coordination of larger machine, equipment, or kit shipments, including documentation and carrier arrangements.

  • Perform additional duties and special projects as assigned to support the logistics and traffic coordination functions.

Essential Skills

  • 23 years of experience in shipping, logistics, traffic coordination, import/export, or transportation administration.

  • Proven experience preparing international shipping documentation, including commercial invoices and export-related documents.

  • Demonstrated experience managing relationships with transportation carriers and shipping service providers.

  • Proficiency with ERP systems for managing orders, shipments, and related logistics data.

  • Strong skills in documentation, record keeping, and data entry to maintain accurate shipping and transportation files.

  • Experience with shipping and receiving operations, including generating and applying shipping labels and documents.

  • Proficiency with Microsoft Office applications for creating, updating, and distributing shipping and invoice documentation.

  • Ability to ensure compliance with company procedures and international trade requirements in daily shipping operations.

  • Strong organizational skills with the ability to manage multiple shipments and priorities simultaneously.

  • Attention to detail and accuracy in preparing documentation, reconciling invoices, and maintaining records.

  • Effective communication skills to collaborate with internal teams, customers, and carriers.

Additional Skills & Qualifications

  • High school diploma or equivalent required.

  • Additional coursework or specialized training in logistics, transportation, or international trade preferred.

  • Experience working with shipping carrier systems, including platforms such as UPS and FedEx.

  • Background in logistics coordination, transportation, or traffic coordination roles.

  • Familiarity with international trade concepts such as product classification and country-of-origin determination.

  • Ability to support larger equipment, machine, or kit shipments in addition to standard parcel and freight shipments.

  • Comfort working in cross-functional environments with Purchasing, Manufacturing, and other internal departments.

Work Environment

This role operates primarily in a professional office environment, with occasional exposure to manufacturing facilities. The position regularly uses Microsoft Office applications, ERP software, shipping carrier systems such as UPS and FedEx platforms, printers, copiers, and other standard office equipment. Work involves frequent interaction with internal departments and external carriers, as well as handling physical shipping documentation and labels in coordination with shipping and receiving activities.

This is a Contract position based out of Sheboygan Falls, WI.

Pay and Benefits

The pay range for this position is $17.00 - $25.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
