Full job description

At Jacobs, we’re building the infrastructure that keeps our communities running. We’re seeking an Office Engineer in Albany, NY to support a dynamic project management team and help keep complex projects organized, documented, and moving forward.

In this role, you’ll combine project administration, document control, coordination, and construction support. You’ll work closely with project managers while interacting with contractors, outside agencies, third parties, and project stakeholders. Responsibilities may include RFI tracking, contract document review, scheduling support, and preparation and review of payments.

As an Office Engineer, you will:

  • Provide administrative and coordination support to project managers in a fast-paced team environment, including backup support as needed.

  • Maintain and coordinate detailed calendars, internal and external meetings, conference calls, meeting updates, and meeting minutes.

  • Coordinate project meetings, including scheduling, meeting logistics, teleconference arrangements, and resolution of calendar conflicts.

  • Prepare and maintain spreadsheets, correspondence, meeting minutes, addenda, project documentation, and internal communications.

  • Assist with RFI tracking, contract document review, basic scheduling activities, and payment preparation and review.

  • Coordinate with contractors, outside agencies, and other third parties regarding project and field activities.

  • Handle sensitive client and project information professionally and appropriately.

  • Organize and provide project-specific and proprietary documentation to the client.

  • Support onboarding of new team members, site-access coordination, and visitors to the project site.

  • Perform document-management and administrative functions including scanning, filing, printing, copying, and archiving.

  • High school diploma.

  • Strong administrative or project coordination experience supporting project management teams in a complex environment.

  • Excellent written and verbal communication skills with the ability to interact professionally with project stakeholders and executive leadership.

  • Strong organizational skills and attention to detail, with an ability to prioritize competing tasks and deadlines.

  • Ability to work independently, anticipate project needs, solve problems proactively, and follow up on outstanding items.

  • Ability to adapt to changing priorities and work effectively in a deadline-driven environment.

  • Proficiency with Microsoft Office applications; experience with scheduling applications is also identified in the existing qualifications.

  • Familiarity with Bluebeam Revu and Adobe.

  • A collaborative, team-oriented approach.

Ideally, You’ll Also Have:

  • Experience in a construction, engineering, private-sector, or government project environment.

  • Familiarity with SAP Concur.

  • Experience with RFI tracking, contract documents, scheduling, and payment review.

  • A bachelor’s degree in Construction, Engineering, or Architecture
