Job Duties

Production Planning Coordinator

General Summary

Are you highly analytical and detail orientated? We are looking for a rock star who can effectively prepare production documentation, update production schedules, and track production status through operations and powder coating. Your analysis will improve schedule tracking with our operations team and provide accurate production documentation to support our organization and customers. You must have excellent computer and effective communication skills.

Works under general supervision; relies on limited experience and judgment to plan and accomplish tasks; a certain degree of process creativity and decision making is required.

Principal Duties and Responsibilities

Prepares production drawing documentation for all product fabrications upon turnover

Participates in cross-functional fabrication turnovers and communicates and tracks material orders to purchasing

Manages and updates online production schedule tracking daily through Microsoft Teams worksheets

Prepares master packing slips for outside service product painting

Manages paint priority lists and daily updates including communication with powder coating supplier

Prepares purchase orders for offsite powder coating operations

Processes paint warranty documentation for project scopes

Tracks incoming receipt of outside service components and materials to facilitate production

Facilitates production schedules by understanding project priorities, working with project management team and operations

Assures and follows up that all product scope components are processed through operations based on lead times for consolidated shipment to the customer

Prepares decking take-off documentation for projects

Coordinates quality control of drawings to be released to fabrication.

Helps create bills of operations and bills of materials shop processing documentation

Maintain post-production documentation for proper filing and storage management

Performs daily safety administrative tasks for tooling inspections and safety walks

Facilitate safety administrative reporting as needed to support safety committee and monthly reporting

Design and/or implement optimized workflows, develop process maps, SOPs, and documentation to support standardization and scalability; and facilitate any training necessary.

Prepares regular and special reports as required

Performs other duties as required

Job Specifications

Knowledge Required

Minimum high school graduate with experience in business or office procedures. Two or four- year business degree is a plus.

Knowledge and understanding of MRP system methodologies

Excellent knowledge and proficiency in the use of computer and business-related software, including Microsoft applications (Excel, Word, Teams and Outlook)

Skills and abilities

Ability to understand verbal and written instructions in English; ability to read and write basic English

Ability to successfully communicate with management and co-workers

Ability to apply business math in business situations, to plan, organize and prioritize work and to effectively interact with others.

Ability to learn how to read and interpret production fabrication drawings

Ability to be mobile in the work environment

Ability to operate office and computer equipment

Ability to interact and participate within a production shop environment

Requires safety footwear

Ability to work hours mandated by management

Ability to pass a drug test

Working Conditions

Working environment is favorable. Requires sitting at a desk for long periods of time; talking, hearing and seeing are essential duties.

Will be required to spend time on the production floor and follow all safety rules and guidelines for safety and personal protective equipment.
