Full job description

Our SelectLeaders client, a privately held commercial and industrial real estate development company, is seeking a highly organized and detail-oriented Project Coordinator to support its growing construction and development team. This is a highly visible role that serves as the primary administrative and project support resource for multiple construction projects. The Project Coordinator works closely with the Director of Construction, contractors, vendors, and project stakeholders to ensure projects remain organized, compliant, and progressing efficiently from commencement through close-out.

This position is ideal for someone who enjoys managing multiple priorities, coordinating with various parties, and serving as a key point of contact throughout the construction process.

The Project Coordinator provides administrative, accounting, job cost, and project support services for construction projects. This role is responsible for vendor management, accounts payable processing, contract administration, job cost tracking, construction draw preparation, project documentation management, and coordination of project communications.

The successful candidate will ensure project records remain accurate, complete, compliant, and up to date while supporting the day-to-day needs of the Director of Construction.

Key Responsibilities:

  • Maintain vendor compliance (authorizations, COIs, W-9s) and monitor lien notices.

  • Manage AP, including invoice entry, pay applications, and lien waivers, resolving payment questions with contractors.

  • Manage job cost, contracts, budgets, and change orders in Sage, including cost reporting and reconciliation.

  • Prepare draw packages and manage close-out documentation and project files.

  • Distribute contractor reports, updates, and jobsite photos; coordinate utility setup and transfer.

  • Support the Director of Construction with daily project needs, meeting agendas/minutes, and stakeholder communication.

Qualifications:

  • Strong organizational and time management skills.

  • Exceptional attention to detail and accuracy.

  • Ability to manage multiple projects and deadlines simultaneously.

  • Strong written and verbal communication skills.

  • Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.

  • Experience working with accounting, job cost, or construction management software.

  • Ability to work independently while collaborating effectively within a team environment.

  • Experience in construction, real estate development, or project administration.

  • Experience with Sage accounting software or similar ERP/accounting systems.

  • Knowledge of construction contracts, pay applications, lien waivers, and project documentation.

  • Associate's or Bachelor's degree in Business, Construction Management, Accounting, or a related field preferred.
