Job Title: Design CoordinatorJob Description
The Design Coordinator supports the planning, coordination, tracking, and administration of the design process throughout the lifecycle of a construction project. This role works closely with the Design Manager, Project Manager, design consultants, trade partners, and field teams to maintain project alignment and ensure the timely flow of design information from concept through permitting and construction.
Responsibilities

Maintain design deliverable logs, drawing trackers, document-control systems, and design issue registers to ensure all project information remains accurate and up to date.

Monitor design submission schedules, milestone dates, and outstanding deliverables, and proactively follow up to keep the project on track.

Coordinate the distribution of drawings, specifications, reports, and supporting documentation to architects, engineers, consultants, trade partners, project teams, and other stakeholders.

Maintain detailed records of design decisions, drawing revisions, project correspondence, and specification changes to support traceability and accountability.

Read and interpret architectural, engineering, and construction drawings to support coordination and review activities.

Support quality-control, quality-assurance, and constructability reviews by organizing materials, tracking comments, and helping document outcomes.

Track design review comments, monitor open issues through resolution, and ensure feedback is captured and addressed in a timely manner.

Schedule and coordinate design meetings, workshops, and review sessions, including preparing and distributing meeting agendas.

Document meetings by capturing minutes and maintaining action-item logs, and follow up with stakeholders to ensure completion of assigned tasks.

Facilitate communication between architects, engineers, consultants, trade partners, owners, and project teams to maintain alignment on design intent and project requirements.

Coordinate permitting submissions and communication with authorities having jurisdiction, ensuring that applications and supporting documentation are complete and accurate.

Review plan-check comments, identify recurring issues, and support timely resolution by coordinating responses with the project and design teams.

Maintain design progress reports, status dashboards, and milestone-tracking documents to provide clear visibility into design and permitting status.

Support preconstruction, estimating, procurement, BIM, and VDC coordination by providing design information and assisting with documentation needs.

Assist field teams with inspections conducted by authorities having jurisdiction and support permit closeout activities.

Learn the responsibilities of the Design Manager and progressively develop toward performing Design Manager-level tasks and decision-making.
Essential Skills
-
Bachelors degree in Architecture, Engineering, Construction Management, or a related discipline.

Two to five years of experience in architecture, engineering, construction, design coordination, or a closely related environment.

Competent to experienced in reading and interpreting architectural, engineering, and construction drawings.

Experienced in managing document control for design drawings, permits, specifications, revisions, and project correspondence.

Ability to track design deliverables, open issues, schedules, milestones, and review comments with a high level of accuracy.

Proficiency with Microsoft Office and construction-related software and similar technology.

Strong organizational skills with the ability to manage multiple deadlines and deliverables in a fast-paced environment.

Strong communication skills, both written and verbal, with the ability to coordinate effectively across diverse stakeholder groups.

Strong documentation and follow-up skills to ensure that action items and commitments are completed.

Ability to coordinate effectively with architects, engineers, consultants, trade partners, project teams, clients, and authorities having jurisdiction.

Knowledge of quality assurance and quality control principles as they apply to design drawings and construction documentation.
Additional Skills & Qualifications
-
Experience reviewing drawings for quality control or quality assurance is preferred.

Experience completing constructability reviews or preparing constructability reports is preferred.
-
Experience generating or contributing to design drawings is a plus.
-
Experience communicating with authorities having jurisdiction is preferred.
-
Experience working with the City of Santa Clara is a plus.
-
Experience using AI tools for drawing review, document analysis, quality assurance, or similar tasks is a plus.
-
Familiarity with Bluebeam, Autodesk Construction Cloud, BIM 360, Procore, or similar construction and collaboration platforms is preferred.
Work Environment
This role is based in a construction project environment in Santa Clara, California, with work primarily split between office and project-site locations. The Design Coordinator regularly collaborates with project managers, design consultants, architects, engineers, trade partners, clients, field operations teams, and permitting authorities. The environment is fast-paced, with multiple deadlines, drawing packages, design reviews, and permitting activities occurring concurrently. Work involves frequent use of digital tools and construction technology platforms, participation in meetings and workshops, and close coordination with both office and field personnel.
Job Type & Location
This is a Contract to Hire position based out of San Jose, CA.
Pay and Benefits
The pay range for this position is $50.00 - $60.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
