Scope of Job
To coordinate clerical and medical activities of a healthcare team, patient registration activities, and facilitating access to UTRGV services for new and returning patients. To ensure and create a positive patient experience by consistently exceeding expectations in customer services and patient care. To provide high level customer service consistently with both internal and external customers, while upholding UT Health RGV’s mission, values, and promoting our service lines.
Description of Duties
-
Provides direct, professional, and knowledgeable interactions with patients, physicians, referral sources, and the treatment team.

Answers calls accurately and with exceptional customer service at all times.

Oversees and performs registration and check-in/out functions
-
Ensures caller’s needs are met and accurate information is obtained.

Ensures calls are documented and triaged appropriately ensuring patient satisfaction and patient safety.

Acts as patient advocate and liaisons with various departments to meet mutual goals.

Maintains patient confidentiality regarding access to patient and other clinical information via email, computer, fax and mail.

Addresses concerns of patients, provides service recovery, and escalates issues as needed.

Coordinates financial counseling for day surgery.
-
Completes reminder calls to patients for scheduled appointments.
-
Educates patient/responsible parties regarding billing process and any additional financial responsibilities including third party benefits information.

Provides out-of pocket cost estimates to patients.

Counsels patients about unpaid bills and may collect fees for balances due on the account.

Obtains future appointments at time of service for clinic follow-up, referrals, and ancillary services.

Verifies, ensures eligibility, and pre-registers patients by obtaining patient demographics and third party coverage(s) at every encounter.

Provides administrative support utilizing knowledge of medical terminology and procedures in a clinic or laboratory environment.

Obtains and documents information required for third party reimbursement.

Ensures compliance with Medicare and third-party coverage.
-
May prepare correspondence, billing, and reports.

Communicates with patient, referral source, physician and clinical staff regarding any obstacle to access or authorization

May train other staff in performing needed duties.

Ensures and maintains high level of customer service to all internal and external customers.
-
May be required to provide coverage at various clinical sites as needed.

Performs other duties as assigned.

Required Education
High School Diploma or equivalent.
Preferred Education
Bi-lingual (English/Spanish)
Licenses/Certifications
Preferred: Completion of Medical Office Specialist certificate program or Medical Administrative Assistant or closely related.
Required Experience
-
One (1) year of experience related to the duties performed in a hospital or clinic setting,or
-
Three (3) year of the required experience with a certification as Medical Office Specialist, Medical Administrative Assistant or closely related.
Preferred Experience
None.
Equipment
Use of standard office equipment.
Working Conditions
Needs to be able to successfully perform all required duties. Office/Clinical Environment; some travel and weekend work may be required. May be exposed to airborne illnesses when coming in contact with patients. Exerting up to 20 pounds of force frequently, and/or a negligible amount of force constantly to move objects. Must be able to sit for long periods of time. UTRGV is a distributed institution, which requires presence at multiple locations throughout the Rio Grande Valley.
