POSITION SUMMARY The Administrative Assistant I provides administrative support to the supervisor and department staff, including managing telephone communications, greeting and directing visitors, preparing correspondence, maintaining records, and coordinating office activities. The incumbent serves as a liaison among departments, staff, parents, and the community, and communicates information, work instructions, and guidance as directed by leadership. This position requires professionalism, strong organizational and communication skills, and the ability to handle confidential information with discretion.

MINIMUM REQUIREMENTS

EDUCATION:

  • High School Diploma or GED required
  • Associate's degree preferred

CERTIFICATION/LICENSE:

  • N/A

WORK EXPEREINCE:

  • 1 years of experience in a fast paced environment
  • Experience in K–12 education or public sector preferred

KNOWLEDGE, SKILLS & ABILITIES

  • Proficiency in Microsoft Office Suite, including Outlook and Excel
  • Ability to work independently and collaboratively in a team environment
  • Strong listening, verbal, and written communication skills
  • Excellent customer service and interpersonal skills
  • Strong organizational skills and attention to detail

ESSENTIAL DUTIES

  • Answers telephone calls, greets visitors, responds to inquiries, and provides information regarding District policies and procedures
  • Screens, distributes, and responds to incoming mail, email, and correspondence as appropriate
  • Schedules appointments, meetings, and events; maintains supervisor calendars and coordinates logistics
  • Attends meetings to provide, obtain, record, and distribute information as needed
  • Prepares, compiles, organizes, and maintains records, reports, agendas, presentations, and related documentation
  • Assists with preparing meeting and Board agenda materials, ensuring accuracy, completeness, and compliance with submission guidelines
  • Coordinates administrative processes and special projects; tracks assignments and ensures timely completion of tasks
  • Makes travel arrangements and reviews expense reports and reimbursement documentation for completeness and accuracy
  • Serves as a liaison among departments, staff, parents, vendors, and the community to support effective communication and customer service
  • May provide workflow support and guidance to clerical or administrative staff and maintains confidentiality of sensitive information, records, and communications
  • Required to have prompt, regular attendance in person and be available to work on-site during regular business hours and as needed
  • Performs other duties as assigned by the appropriate administrator or their representative

PHYSICAL ABILITIES AND WORKING CONDITIONS

  • Vision: Ability to read small print and view a computer screen for prolonged periods
  • Hearing: Ability to tolerate exposure to noisy conditions
  • Speech: Ability to be understood in face-to-face communications, to speak with a level of proficiency and volume to be understood over a telephone or computer
  • Upper Body Mobility: Ability to use hands to grasp, and manipulate small objects; manipulate fingers, twist and bend at wrist and elbow; extend arms to reach outward and upward; use hands and arms to lift objects; turn, raise, and lower head
  • Strength: Ability to lift, push, pull and/or carry objects which weigh as much as 5 or more pounds on a frequent basis. Incumbent may be required to physically restrain parties involved in a conflict
  • Environmental Requirements: Ability to encounter constant work interruptions; work cooperatively with others; work independently; work indoors
  • Mental Requirements: Ability to read, write, understand, interpret and apply information at a moderately complex level essential for successful job performance; math skills at a high school proficiency level; judgement and the ability to process information quickly; learn quickly and follow verbal procedures and standards; give verbal instruction; rank tasks in order of importance; copy, compare, compile and coordinate information and records. COMPENSATION: Salary Grade: 118 Salary Range: Salary Schedules - Atlanta Public Schools Work Year: 252 days
