Description

We are looking for a detail-oriented Policy and Procedure Specialist to support policy and procedure documentation for a Long-term Contract position in Phoenix, Arizona. This role focuses on strengthening document governance by evaluating existing materials, developing clear and current policies, and coordinating updates across multiple teams. The ideal candidate brings strong writing and research abilities, confidence working with stakeholders at different levels, and the organizational discipline to manage documentation through each stage of review and approval.

Responsibilities:

  • Gather policies, standard operating procedures, forms, checklists, and related records from departments across the organization to build a complete documentation inventory.

  • Evaluate existing materials for gaps, duplication, outdated content, and conflicting information, then update or create documents that align with current business practices.

  • Meet with leaders, subject matter experts, and staff members to capture how work is performed and translate that information into accurate written procedures.

  • Organize and lead recurring policy review sessions, prepare meeting materials, record outcomes, and track follow-up actions to completion.

  • Oversee a review schedule that identifies when documents require revision due to operational updates, regulatory developments, client needs, or organizational changes.

  • Work closely with Compliance to monitor legal and industry requirements, research unfamiliar topics, and incorporate findings into policy and procedure revisions.

  • Maintain a centralized document repository with standardized formatting, ownership records, version history, and key approval and review dates from publication through retirement.

  • Resolve discrepancies when written guidance does not reflect actual workflows or when different teams follow inconsistent processes.

  • Share finalized updates with appropriate stakeholders and coordinate with Training, HR, Compliance, and Operations when communication or employee instruction is needed.

  • Assist with audits, compliance assessments, and client documentation requests while safeguarding confidential company, client, employee, and consumer information.

Requirements • At least 3 years of experience in policy development, procedure writing, compliance documentation, document control, quality assurance, operations support, or a related area.

  • Proven ability to draft, edit, and maintain formal business documents such as policies, procedures, or standard operating guidelines.

  • Strong written and verbal communication skills, including the ability to lead meetings and gather information from multiple stakeholders.

  • Demonstrated success managing several documentation projects, timelines, and approval processes simultaneously with minimal supervision.

  • Proficiency in Microsoft 365 applications, including Word, Excel, Teams, and SharePoint.

  • Excellent attention to detail with the ability to identify inconsistencies, missing information, and outdated language in controlled documents.

  • Strong research and critical thinking skills to interpret new requirements and convert them into practical documentation updates.

  • Experience in collections, financial services, or another regulated environment, as well as familiarity with document management or version control systems, is preferred. TalentMatch®
