Full job description
The Exhibitor Relations Coordinator supports marketing initiatives for our films on national, regional, and theater-specific levels in close partnership with the Sales and Marketing departments. Reporting directly to the Vice President, Sales, this role is responsible for coordinating exhibitor marketing and trailer campaigns, including exhibitor websites, in-theater material placements, exhibitor asset outreach, and trailer placement.
The coordinator interacts daily with multiple exhibitors, internal marketing teams, warehouse and trailer facilities, vendors, and external delivery partners to support the successful execution of exhibitor marketing campaigns across all SPC releases.
The Exhibitor Relations Coordinator’s duties include, but are not limited to:

Coordinate national trailer placement with the Vice President, Sales and department to effectively promote multiple films across a release slate. Conduct weekly outreach to theater circuits and exhibitors to secure and track trailer placements and compile findings into a comprehensive weekly report for review with the Vice President, Sales and distribute to company executives and producers. Participate in weekly executive meetings to present upcoming film placements, provide campaign updates, and address questions. Coordinate with the trailer distribution vendor to ensure trailers are accurately posted and available on the distribution platform and communicate weekly trailer placement updates to executives.

Coordinate the distribution and shipment of one-sheets (posters) and specialty marketing materials with the company’s warehouse facility to support theatrical releases. Maintain accurate internal shipment tracking lists and monitor the operating system weekly for new theater bookings to ensure exhibitors receive required assets and materials in a timely manner. Manage ongoing fulfillment needs, track shipments, and follow up as necessary to ensure materials are delivered accurately and on schedule.

Coordinate in-theater marketing initiatives in partnership with the Marketing team and Vice President, Sales to maximize visibility and awareness for theatrical releases. Support the planning and execution of exhibitor-specific promotional opportunities, including outdoor and on-site placements, and conduct outreach to theater circuits, exhibitors, and vendors to identify and secure additional marketing opportunities. Maintain strong industry relationships and coordinate with internal and external partners to ensure initiatives are executed effectively and align with each film’s overall marketing and release strategy.

Manage and track film-specific budgets for trailer placements and in-theater marketing initiatives in coordination with the Sr. Vice President, Operations. Provide weekly cost updates to support budget oversight.

Build and maintain relationships with theater managers across Manhattan through regular in-person visits prior to film releases to facilitate and verify placement of trailers, one-sheets (posters), and other marketing materials. Conduct in-theater check-ins at NYC locations to ensure materials are displayed and positioned as requested and address placement needs directly with theater management. Oversee on-site theatrical marketing initiatives for special screenings, premieres, and other release-related events, coordinating with exhibitors and internal teams to ensure successful execution.

Administrative duties: Maintaining necessary internal lists for company wide use, processing and coding invoices in a timely manner, submitting expense reports.

Support the company’s participation in industry conferences and trade shows, including occasional travel as needed. Coordinate booth reservations, logistics, materials, and on-site setup, working with internal teams, event organizers, and vendors to ensure a professional and successful company presence.
Requirements:

Bachelor’s Degree from 4 yr. college preferred

Strong written and oral communication skills.

Proficiency in Microsoft Office Suite and AirTable

Strong organizational, planning, project management, and presentation skills

Demonstrate a passion for independent films and the theatrical experience

Exhibitor and induexperience preferred

Demonstrated ability to work effectively with all levels of management

Ability to manage multiple priorities in a fast-paced environment
