About the Role:

CBRE is seeking a Senior Facilities Coordinator to lead facilities operations across a large, nationally distributed retail pharmacy portfolio supporting a leading healthcare organization. In this highly visible role, you will serve as the primary facilities management lead for approximately 100 pharmacy locations across the United States, ensuring service excellence, operational consistency, and timely resolution of facility-related issues.

As the portfolio lead, you will oversee work order management, purchase order administration, vendor coordination, and client communications while providing leadership to one Facilities Coordinator. You will be the first point of contact for escalations and play a key role in driving portfolio performance, supporting business continuity, and delivering an exceptional client experience.

What You'll Do:

  • Serve as the Senior Facilities Coordinator lead for a nationwide retail pharmacy portfolio consisting of approximately 100 locations.

  • Act as the primary point of contact for client, vendor, landlord, and stakeholder escalations, ensuring timely resolution and communication.

  • Lead and facilitate recurring work order review calls, driving accountability and service delivery performance.

  • Manage the full lifecycle of work orders, from intake and dispatch through completion and reporting.

  • Oversee purchase order creation, tracking, reconciliation, and invoice support to ensure financial accuracy and compliance.

  • Analyze work order and portfolio performance data to identify trends, risks, and opportunities for improvement.

  • Coordinate vendors, contractors, and service providers to ensure maintenance and repair activities are completed efficiently.

  • Provide day-to-day leadership, coaching, and support to Facilities Coordinator while fostering a collaborative team environment.

What You'll Need:

  • High school diploma or GED required; additional facilities, property management, or business-related education is a plus.

  • 3+ years of experience in facilities management, property management, operations, or a related field.

  • Experience managing high-volume work orders within a multi-site portfolio environment.

  • Strong understanding of purchase order processes, vendor management, and service delivery coordination.

  • Proven ability to manage priorities across multiple locations while maintaining exceptional attention to detail.

  • Advanced proficiency with Microsoft Office applications, including Excel, Outlook, and Word.

  • Excellent communication and presentation skills with the ability to engage stakeholders at all levels.

  • Strong problem-solving, organizational, and analytical skills with the ability to make informed decisions independently.

CBRE carefully considers multiple factors to determine compensation, including a candidate’s education, training, and experience. The minimum salary for the Facilities Sr Coordinator position is $55,000 annually [or $26.45 per hour] and the maximum salary for the Facilities Sr Coordinator position is $68,000 annually [or $32.70 per hour]. The compensation offered to a successful candidate will depend on their skills, qualifications, and experience. This role will provide the following benefits: 401(K), Dental insurance, Health insurance, Life insurance, and Vision insurance.
