Transfer Center Office Technician

Starting Salary: $1,760 - $2,080 bi-weekly

Schedule: Tuesday through Saturday/ 10:00 AM to 5:30 PM

The Transfer Center Office Technician provides administrative and clerical support to the All-Access Transfer Center Operations team. This role is responsible for maintaining office organization, supporting leadership, managing records and documentation, assisting with reporting and correspondence, monitoring office supply inventory, and serving as a professional point of contact for internal and external customers.

The Office Technician helps ensure the efficient operation of the Transfer Center through a variety of administrative duties while maintaining strict confidentiality, professionalism, and exceptional customer service.

Responsibilities

  • Answer and appropriately route incoming telephone calls.

  • Process incoming and outgoing mail, correspondence, and other communications.

  • Assist leadership with special projects, reports, and administrative assignments.

  • Maintain paper and electronic filing systems.

  • Scan, upload, and archive records in accordance with company policies.

  • Organize and maintain operational documentation.

  • Ensure confidentiality of sensitive business and healthcare-related information.

  • Prepare packets, handouts, and materials for meetings, training, and onboarding activities.

  • Track and maintain inventories of forms and office supplies.

  • Assist with data entry, reporting, and assigned projects.

  • Respond to routine inquiries and direct requests to the appropriate department.

  • Build and maintain positive relationships with internal and external customers.

  • Monitor inventory levels and coordinate supply ordering.

  • Support maintenance and functionality of office equipment including copiers, printers, scanners, telephones, and related systems.

  • Coordinate facility and equipment maintenance requests as needed.

  • Maintain a professional, organized, and efficient work environment.

  • Participate in departmental meetings and training sessions.

  • Perform other duties as assigned.

Minimum Required Qualifications

  • High School Diploma or GED required.

  • Typing proficiency of 40 WPM.

  • One (1) year of administrative, clerical, customer service, healthcare support, or office experience preferred.

  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and Teams.

  • Strong organizational and record management skills.

  • Ability to accurately enter and maintain data.

  • Excellent verbal and written communication skills.

  • Ability to prioritize multiple assignments and meet deadlines.

  • Ability to work independently and collaboratively in a team environment.

  • Knowledge of standard office equipment and technology.

Preferred Qualifications

  • Previous experience in a healthcare, hospital, communications center, dispatch center, or transfer center environment.

  • Familiarity with medical terminology.

  • Experience handling confidential information and HIPAA-related requirements.
