Job Description

As Controller, you own accounting operations, financial controls, and regulatory compliance — running month-end close, monitoring and reporting on indirect cost rate structures, and setting up the financial side of new clients, projects, and vendors correctly from day one. You partner with the CFO on reporting and forecasting, and work closely with the accounts payable and receivable (AP/AR) team, reviewing and approving their day-to-day invoicing and vendor payment work rather than processing transactions yourself.

Client & Project Financial Setup

  • Own the financial setup and approval steps for new clients and new projects: confirm contract type (i.e. FP/T&M, etc), billing structure, resource pay type (employee, contractor, or subcontractor), contract spending limits, and billing rates before work begins.
  • Set up and maintain clients and projects in the company's accounting system, including internal and external billing codes.
  • Confirm billing terms and client-specific invoice requirements before onboarding a new engagement.

Billing & Invoicing Oversight

  • Review and approve monthly client invoices prior to submission, including verifying billing amounts against contract spending limits.

  • Oversee timesheet reconciliation against client systems to ensure billing accuracy.

  • Serve as the escalation point for billing discrepancies the AP/AR team cannot resolve independently. AP/AR Process Ownership

  • Own the design and health of accounts payable and receivable processes, including internal tracking tools, accounting records, and documentation standards.

  • Review and approve new resource setup (employees, contractors, subcontractors, vendors) for payroll and invoicing readiness.

  • Partner with the AP/AR team on day-to-day invoice processing and vendor payments; step in directly on complex or non-standard transactions. Indirect Rates & Compliance

  • Maintain indirect cost rate structures (overhead, G&A, fringe) in line with federal contracting requirements.

  • Maintain DCAA-compliant accounting practices and timekeeping standards across all resource types.

  • Flag compliance risks in financial processes to leadership early.

  • Support financial audits and cost submissions, coordinating supporting documentation from the AP/AR team.

Month-End Close & Reporting

  • Own the month-end close process, including balance sheet account analysis and supporting documentation, bank reconciliations, full financial statement reporting (balance sheet, income statement, and cash flow), coordinating with other team members to develop a timely monthly cadence.
  • Prepare ad-hoc financial reports and dashboards for leadership.
  • Support company-wide forecasting and budgeting in coordination with the CFO.

Targeting $50-$80 an hour.

Skills and Requirements

  • 5+ years of progressive accounting/finance experience, including experience in a Controller or senior accounting role within a government contracting environment.
  • Hands-on experience with standard small-business accounting software required.
  • Working knowledge of federal indirect cost rate structures, DCAA compliance, and timekeeping requirements.
  • Experience with multi-resource-type payroll (employees, contractors, subcontractors).
  • Comfortable operating as a fractional resource (~20 hrs/week) with strong communication and documentation habits for a small, distributed team.
