Administrative Assistant - Safety & Compliance

Location: Brewster, NY | On-Site

Schedule: Full-Time | Monday–Friday | 8:00AM – 5:00PM

Pay Range: $18 - $21 / hour

Join our team as a Safety & Compliance Administrative Assistant and play an important role in supporting our workplace safety, employee safety, and compliance programs. We're looking for a highly organized, detail-oriented professional who can manage records, coordinate training, support safety initiatives, and keep important compliance activities on track.

What You'll Do

As a Safety & Compliance Administrative Assistant, you will:

  • Provide administrative support to the Safety Department

  • Maintain accurate employee, training, incident, workers' compensation, and compliance records

  • Coordinate new-hire safety requirements and ongoing employee safety training

  • Assist with safety inspections, incident reporting, investigations, and corrective actions

  • Support workers' compensation and OSHA recordkeeping

  • Prepare reports and maintain spreadsheets and databases used to track safety and compliance programs

  • Maintain driver, vehicle, inspection, and transportation safety records

  • Assist with audits, inspections, and regulatory requests

  • Communicate with employees, management, vendors, and other parties regarding safety and compliance matters

  • Handle confidential and sensitive information professionally

  • Perform additional duties as assigned

What We're Looking For

  • High school diploma or equivalent required. Associates or Bachelors degree preferred.

  • 2+ years of administrative experience preferred

  • Proficiency with Microsoft Office, especially Excel, Word, and Outlook

  • Experience in safety, compliance, HR, transportation, logistics, or operations is a plus

  • Knowledge of OSHA, workers' compensation, workplace safety, or transportation compliance is preferred

  • Strong organizational and time-management skills

  • Excellent attention to detail and accuracy

  • Strong written and verbal communication skills

  • Ability to manage multiple priorities and meet deadlines

  • Ability to work independently and as part of a team

  • Ability to maintain confidentiality
