Client Information Response Team RFP Specialist

The KLDiscovery Client Information Response Team (CIRT) seeks an RFP Specialist to support and prepare responses to law firm, government, and corporate RFPs and RFIs. This team member will also respond to client requests for information regarding KLDiscovery and its business practices. KLDiscovery’s Client Information Response Team is the hub through which information is compiled and disseminated to internal and external clients. This team is led by the Senior Manager, Client Response, and is part of the Global Advisory Services team.

The position requires collaboration across a multitude of teams and internal subject matter experts. Accordingly, a successful candidate must be self-motivated and willing to take the initiative and demonstrate the ability to work collaboratively in a team environment, occasionally under compressed time constraints. The candidate must be detail-oriented, have excellent verbal and written communication skills, and be highly organized. This role requires adherence to strict deadlines and may require occasional evening work during peak periods. This role will support KLDiscovery Sales teams in various regions

Role and Responsibilities:

  • Assist with and/or fully manage the response lifecycle, from reviewing requirements to scheduling the kick-off meeting to coordinating responses through final submission.
  • Collaborate with Business Owners and other KLD team members to create proposals/responses by identifying project milestones and task owners, assigning and monitoring tasks, and compiling final submissions.
  • Collaborate with the Business Owner and RFP Team to deliver a fully compliant bid that aligns with client requirements.
  • Ensure accuracy, consistency, and compliance in all bid documents.
  • Support the collection, tracking, and updating of RFP content, ensuring that content remains current and accurate.
  • Work within a response management platform to manage projects and maintain content.
  • Support ad-hoc requests such as vendor onboarding, document requests, and other information requests.
  • Track and maintain records around the quantity and types of requests for reporting purposes.
  • Suggest improvements to RFx and content management processes to gain efficiencies and encourage optimal use of technology.
  • Other tasks as needed to support fulfilling client information requests and sales opportunities.

Desired Skills and Experience:

  • Experience crafting compelling proposals and answers to questions that address all requirements and accentuate capabilities
  • Experience in the legal and/or legal technologies fields preferred but not required
  • Ability to work effectively and collaboratively with a global team
  • Exceptional organizational, project management, time management, and analytical skills
  • Proficiency in MS Office Suite required
  • Experience managing content in a response management platform like Responsive
  • Ability and willingness to problem-solve and craft creative solutions amidst ambiguity
  • Excellent interpersonal and communication skills
  • Attention to detail
  • Ability to manage projects and tasks to deadlines and competing obligations
  • Self-motivated with the ability to take direction and work independently
  • Ability to effectively manage multiple projects simultaneously
