Pine Rest is seeking an organized and service-focused leader to oversee the daily operations of our outpatient clinic front office. As the Support Staff Supervisor, you will lead and support a team of administrative professionals, help ensure efficient clinic operations, and create a positive experience for patients, providers, and staff. This role is ideal for someone who enjoys team leadership, healthcare operations, customer service, and process improvement.

What You'll Do

  • Lead, coach, and develop front office and administrative support staff.

  • Coordinate staff scheduling, workload distribution, and daily clinic operations.

  • Support hiring, onboarding, training, and performance management processes.

  • Partner with clinic leadership to improve workflows and operational efficiency.

  • Monitor provider schedules and help support timely patient access to care.

  • Provide exceptional customer service while addressing patient and staff concerns.

  • Assist with reporting, data tracking, compliance activities, and special projects.

  • Foster a positive, collaborative, and patient-centered clinic environment.

What We're Looking For

Required

  • High school diploma or equivalent.

  • Minimum of one year of leadership, supervisory, team lead, or people management experience required. Experience may include direct or indirect leadership responsibilities, such as coordinating workflows, directing the work of others, training staff, or providing day-to-day operational oversight.

  • Strong organizational, communication, and customer service skills.

  • Ability to prioritize competing responsibilities and work effectively in a fast-paced environment.

  • Proficiency with technology and electronic systems.

Preferred

  • Three or more years of supervisory or leadership experience

  • Experience leading teams in a healthcare, medical office, behavioral health, or customer service setting.

  • Experience with scheduling, clinic operations, or administrative workflow management.

  • Experience with EPIC, the electronic health record (HER) software system.

Position Details

  • Non-Exempt (Hourly) position.

  • On-site role within an outpatient behavioral health clinic.

  • Directly supervises front office and administrative support staff.
