Position Summary

The Facilities Coordinator is a hands-on operational professional responsible for supporting the daily maintenance, safety, and functionality of assigned facilities. This role works alongside maintenance staff, contractors, and vendors while managing the Facilities Work Order/Ticketing System, conducting inspections, supporting preventative maintenance, coordinating space setups, and ensuring exceptional customer service. This is not a desk-only position; the successful candidate leads by example and actively participates in day-to-day facilities operations.

Core Responsibilities & Performance Expectations

Facilities Ticketing & Work Order Management

Responsibilities:

  • Receive, prioritize, assign, monitor, and close work orders.

  • Maintain accurate ticket documentation, notes, invoices, and photographs.

  • Provide timely updates to requestors.

  • Escalate critical issues when appropriate.

Performance Expectations:

  • 95% of work orders completed within service standards.

  • New requests acknowledged within 1 business day.

  • 98% documentation accuracy.

Hands-On Facilities Operations

Responsibilities:

  • Conduct daily building walkthroughs and inspections.

  • Work alongside maintenance staff during operational needs.

  • Assist with office moves, room setups, furniture reconfiguration, and minor operational projects.

  • Verify completed work before closing tickets.

Performance Expectations:

  • 100% scheduled inspections completed.

  • High-priority work personally verified before closure.

  • Visible presence throughout assigned facilities.

Vendor & Contractor Coordination

Responsibilities:

  • Coordinate vendors, monitor work quality, ensure safety compliance and timely completion.

Performance Expectations:

  • 95% vendor work completed on schedule.

Safety & Compliance

Responsibilities:

  • Serve as Deputy Fire Warden.

  • Support OSHA, fire safety, and emergency preparedness.

Performance Expectations:

  • 100% participation in required drills and compliance activities.

Customer Service

Responsibilities:

  • Provide responsive service to internal stakeholders and maintain professional communication.

Performance Expectations:

  • 90%+ positive internal customer satisfaction.

Qualifications

  • Associate degree or equivalent facilities, maintenance, office management, or property management experience.

  • Experience using a facilities ticketing/work order management system preferred.

  • Working knowledge of Microsoft Office; Oracle experience is a plus.

  • Strong customer service, communication, organization, and problem-solving skills.

  • Ability to perform hands-on operational work, including walking facilities, lifting up to 50 pounds, and assisting with building projects.
