About the Role
Five Star Breaktime Solutions is a premier provider of away-from-home convenience services, committed to delivering innovative breaktime solutions that enhance customer experiences. We are looking for an Administrative Assistant to provide high-level administrative support to the VP of Retail Operations, helping to keep the department organized, compliant, and running smoothly. This role combines traditional administrative duties, including scheduling, correspondence, and document management with support for accounts receivable, compliance tracking, and asset and fleet maintenance recordkeeping. The ideal candidate is detail-oriented, proficient in Microsoft Office (especially Excel), and comfortable managing multiple priorities in a fast-paced environment.

Key Responsibilities
-
Prepare, format, and maintain documents, reports, and presentations using Microsoft Word, Excel, and PowerPoint.

Build and maintain Excel spreadsheets and trackers for departmental data, budgets, and reporting.

Support accounts receivable (AR) functions, including tracking invoices, following up on outstanding payments, and maintaining accurate records.

Assist with compliance tracking, including maintaining documentation, deadlines, and reporting required by company policy and applicable regulations.

Provide administrative support for asset and fleet maintenance, including tracking maintenance schedules, service records, registrations, and vendor communications.

Answer and route phone calls, emails, and other correspondence.

Organize and maintain physical and digital filing systems for department records.

Coordinate department meetings, including preparing agendas and recording minutes.

Order and manage office supplies and department resources as needed.
Required Qualifications
-
Associates degree in related field and three years related experience; or equivalent combination of education and experience.

High school diploma required.

Excellent written and verbal communication skills.

Must be able to consent to a drug screen and pre-employment background check.

Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
Preferred Qualifications
-
Experience with accounts receivable or basic bookkeeping.

Familiarity with compliance recordkeeping and documentation practices.

Experience supporting asset or fleet management administration.
