Job Description
The Office Manager is responsible for overseeing the daily administrative operations of a busy construction site office. This role serves as the central point of coordination for office activities, visitor management, vendor interactions, inventory control, meeting support, and general site administration. The ideal candidate is highly organized, proactive, customer-service oriented, and able to thrive in a fast-paced construction environment while maintaining professionalism and attention to detail.
Manage day-to-day operations of the project site office. Maintain an organized, professional, and efficient office environment.
Coordinate incoming and outgoing correspondence, deliveries, and shipments.
Support project leadership with administrative tasks and reporting as needed.
Maintain office records, directories, and filing systems.
Monitor and maintain inventory levels of office supplies, PPE, safety equipment, breakroom supplies, and other site necessities.
Order, receive, and distribute supplies while ensuring cost-effective purchasing.
Conduct regular inventory audits and maintain accurate inventory records.
Coordinate with vendors to replenish stock and manage supply deliveries.
Schedule and coordinate site visits for vendors, subcontractors, inspectors, clients, and other project stakeholders.
Serve as the primary point of contact for office-related vendor coordination.
Ensure visitors are informed of site requirements and safety protocols prior to arrival.
Assist with scheduling conference rooms and coordinating logistics for meetings and site tours.
Welcome and assist visitors, clients, and project stakeholders.
Manage visitor check-in/check-out procedures. Issue visitor badges and ensure all visitors comply with site security and safety requirements.
Coordinate visitor orientations and safety acknowledgments when required.
Maintain visitor logs and site access records.
Schedule and prepare meeting spaces for project meetings, client presentations, and executive visits.
Ensure meeting rooms are properly set up with seating, technology, refreshments, and presentation materials.
Coordinate catering and hospitality arrangements as needed.
Provide support during meetings and special events to ensure smooth execution.
Skills and Requirements
High school diploma or equivalent.
3+ years of administrative, office management, or facilities coordination experience.
Experience working in a construction, engineering, manufacturing, or industrial environment preferred.
Strong organizational and multitasking abilities.
Proficiency with Microsoft Office Suite (Outlook, Word, Excel, Teams).
Excellent verbal and written communication skills.
Ability to manage multiple priorities with minimal supervision.
