The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities:

Manages, leads, and guides key business and technology initiatives utilizing organization's standard project management and change management methodologies. Projects are aimed towards supporting the mission of the Office of Digital Health Innovation with strengthening how the University of Rochester leads, coordinates, and scales digital technologies, artificial intelligence, and virtual care across UR Medicine. This role plans, monitors and manages medium to large scale technology projects from initiation through completion, focusing on enhancing digital capabilities such as patient access, AI, and automation. Leads critical project management activities, including but not limited to scope management planning, requirements management planning, project schedule management, stakeholder management planning, risk management planning, procurement/subcontract management plans, cost/financial management plans, quality management plans, and communication management plans. Ensures project results meet requirements regarding quality, reliability, schedule and cost. Monitors performance, adherence to scope and recommends schedule changes, cost adjustments or resource additions. Establishes and maintains strong partnerships with senior leadership, internal and external clinical, financial, operational and research stakeholders, and IT build teams. Responsible for leadership of strategic program activities and coordination of multiple related projects, working with operational team leads to understand project health, risks and issues within the Office of Digital Health Innovation, ensuring consistency with organizational strategy, commitments and goals. Acts as an expert regarding project management methodology and tools. Provides mentorship and coaching of project coordinators.

ESSENTIAL FUNCTIONS

  • Leads complex, cross-functional technology projects and organizational improvement initiatives from intake through implementation. Partners with departmental and institutional leaders to assess divisional and enterprise-wide challenges within the scope of the Office of Digital Strategy and Innovation. Identifies root causes, evaluates opportunities for improvement, and develops recommendations and implementation strategies informed by organizational best practices with Digital Strategy and Innovation. Utilizes a variety of project management methodologies, as appropriate, to lead the program, including Predictive, Agile/Adaptive and Hybrid approaches. Manages program scope, timeline and budget using appropriate governance bodies.

  • Coordinates project management activities to manage stakeholders, timelines, milestones, and deliverables while proactively identifying barriers, facilitating solutions, and maintaining momentum toward desired outcomes. (20%)

  • Provides consultation and strategic guidance to leaders and project teams regarding implementation approaches, stakeholder engagement strategies, and sustainable improvement opportunities. (20%)

  • Fosters engagement and accountability, and helps teams navigate challenges, competing priorities, and implementation barriers. Designs and facilitates effective meetings, work sessions, and stakeholder discussions to support decision-making, problem-solving, and progress toward desired outcomes. (20%)

  • Develops charters, scope management plans, stakeholder management plans, requirements management plans, risk management plans, project schedules, project cost management plans, and change management activities with input from multidisciplinary project teams to ensure project objectives are met. Facilitates project meetings using effective meeting techniques for objectives, agendas, participants, and meeting minutes. Develops and maintains reporting dashboards suitable for leadership to communicate project status.

  • Builds and maintains collaborative relationships with leaders, faculty, staff, and stakeholders across the organization to support project success and advance local and institutional digital strategy and innovation. Implement trusted change management methodologies in partnering with departments, divisions, and operational support areas to identify opportunities for improvement, facilitate implementation of multidisciplinary projects, and support sustainable changes that address challenges at their source. Serves as a trusted advisor, implementation partner, and resource to leaders across clinical, financial, technology, operations and research stakeholders.

  • Develops and maintains project documentation, dashboards, and reporting tools to communicate progress, evaluate intervention effectiveness, identify trends, and inform decision-making by leaders and stakeholders. Provides status reports to Office of Digital Health Innovation leadership team and governance steering committees. Manages project scope and timeline, using appropriate governance bodies and leadership direction. Identifies, tracks, and manages risks and mitigation plans within assigned projects, escalating as appropriate. Manages competing priorities.

  • Develops project budgets and ensures project spend remains within defined project budget boundaries. In partnership with departments and key stakeholders, leads meetings to determine needs and provides subsequent guidance. Supports business improvement plans and presentations by determining resource needs, efficiencies, and hurdles. Supports resource development, proposal development, and writing and distribution of materials. Offers project management resources for approved solutions and projects. Drives continuous improvement in project management processes and methodologies. Analyses and assesses project management needs and ensures guidelines and spend parameters are followed.

  • Other duties as assigned.

MINIMUM EDUCATION & EXPERIENCE

  • Bachelor's degree in related discipline such as Project Management, Business Administration, Information Technology, or Engineering and 5 years of related experience required

  • Master's Degree preferred

  • Or equivalent combination of education and experience

  • Experience managing medium to large project budgets and complex resource allocation preferred;

  • Experience in healthcare or higher education field preferred

  • ServiceNow, JIRA, Smartsheet, Clarity PPM or Project Portfolio Management (PPM software experience preferred

KNOWLEDGE, SKILLS AND ABILITIES

  • Detail-oriented with a proven ability to manage projects required

  • Excellent communication (written and verbal), presentation, analytical and problem solving skills required

  • Extensive computer literacy, including Microsoft Project, Teams and Powerpoint preferred

  • Strong leadership and strategic thinking skills preferred

LICENSES AND CERTIFICATIONS

  • Certified Project Management Professional (PMP)-PMI within 1 year required

  • Agile certification (PMI-ACP, DASM or CSM) upon hire preferred

  • Lean Six Sigma preferred

  • Change Management preferred
