Position Overview

The Administrative Coordinator provides comprehensive workforce support for craft, vessel, and yard employees by coordinating recruiting, onboarding, employee records, benefits administration, workforce planning, credential tracking, and regulatory compliance. This role serves as a key liaison between operations and HR, supporting crew movements, staffing initiatives, maritime credential management, workforce communications, and employee development while ensuring accurate documentation and compliance with company policies and maritime regulations.

Weeks Marine is one of the nation’s leading marine construction and dredging companies, operating a diverse fleet and multi‑site workforce across shipyards, dredges, and field projects. The Administrative Coordinator plays a critical role in supporting safe, complaint, and efficient people operations that keep our crews, craft professionals, and project teams moving.

Responsibilities

  • Recruiting Support — Support full‑cycle hiring for craft, vessel, and yard roles.

  • Onboarding & Orientation — Process new‑hire documentation, facilitate orientation, and ensure employees meet & maintain maritime credential requirements (TWIC, MMC, physicals).

  • Employee Records Management — Maintain accurate HRIS records, attendance logs, certifications, training files, and benefits enrollment.

  • Benefits & Compensation Administration — Support enrollments, changes, and terminations; assist with payroll‑related updates; help employees navigate health, dental, vision, and retirement plans.

  • Craft Support – support craft personnel changes, including crew changes, vessel assignments, and craft ticket processing. Coordinate travel arrangements and expense processing for hopper personnel. Support weekly workforce planning meetings by providing staffing updates, tracking manpower requirements, and ensuring vessels remain compliant.

  • Compliance & Policy Support — Ensure adherence to labor laws, maritime regulations, union agreements, and company policies; assist with audits and policy updates.

  • Sea Service Letters – Prepare and issue Sea Service Letters and other employment verification documents required for U.S. Coast Guard license renewals and upgrades.

  • Training & Development Coordination — Assist with scheduling training, tracking required certifications, and supporting performance review cycles.

Qualifications

Required Qualifications

  • 2+ years of experience supporting craft personnel.

  • Strong understanding of full‑cycle recruiting, HR compliance, and employee record management.

  • Excellent communication, organization, and problem‑solving skills.

  • Ability to manage confidential information with discretion.

Preferred Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or related field.

  • Experience supporting skilled‑trade, maritime, construction, or union environments.

  • Familiarity with USCG Merchant Mariner credentialing, TWIC, DOT/Coast Guard physical requirements, or similar compliance frameworks.

  • Knowledge of multi‑site workforce operations (shipyard, dredge fleet, field projects).

  • Perform work safely and effectively. Understand and follow oral and written instructions, including warning signs, equipment use, and other policies.

  • Work during normal operating hours to organize and complete work within given deadlines. Work overtime and weekends as required.

  • May work at various different locations and conditions may vary.
