The Scheduling Supervisor is responsible for leading the daily scheduling operations for a Home Health or Hospice agency. This role oversees scheduling staff, coordinates patient service coverage, manages workflow within Home Care Home Base (HCHB), and ensures services are delivered efficiently based on patient needs and staff availability. The Scheduling Supervisor serves as a key resource for clinical teams, scheduling staff, contract personnel, and patients while maintaining a high level of service and operational excellence. Key Responsibilities: * Lead and supervise the scheduling team, ensuring timely response to incoming calls and service requests. * Oversee daily scheduling operations to ensure patient visits are staffed appropriately and efficiently. * Train, mentor, onboard, and provide ongoing support to scheduling staff. * Maintain staff and contract clinician schedules, availability, productivity, and skill set information. * Partner with Intake and Clinical teams to identify staffing solutions for new patient referrals. * Monitor and manage scheduling workflows, including visit assignments, schedule changes, missed visits, caseload reassignments, and service recertifications. * Support clinical leadership by ensuring timely completion of scheduling-related tasks and workflows. * Communicate effectively with staff regarding scheduling expectations, deadlines, and patient care coordination. * Build and maintain positive working relationships with employees, contract staff, patients, families, and referral sources. * Analyze staffing needs and provide recommendations to support operational demands. * Associate degree in Business, Healthcare Administration, Medical Office Management, or a related field required. * Bachelor's degree preferred. * Minimum of 3 years of office experience in a healthcare setting required. * Prior experience in home health, hospice, scheduling, staffing coordination, or healthcare operations preferred. * Experience supervising or leading a team preferred. * Familiarity with Home Care Home Base (HCHB) or other healthcare scheduling systems preferred. * Strong organizational, problem-solving, and decision-making skills. * Excellent written and verbal communication skills. * Proficiency with Microsoft Office and healthcare-related software applications. * Ability to manage multiple priorities and perform effectively in a fast-paced environment.
