DENTAL OFFICE MANAGER

Location: 519 Bonita Lakes Dr Ste B, Meridian, MS 39301

JOB PURPOSE

The Office Manager is responsible for overseeing the daily operations of the dental office and ensuring the practice operates efficiently, professionally, and in accordance with established standards. This position supports the Doctor and dental team in delivering exceptional patient care while achieving operational, financial, and growth objectives.

GENERAL DUTIES & RESPONSIBILITIES

  • Establish and maintain effective systems, processes, and protocols that support the efficient operation of the dental office and allow the Doctor to focus on providing quality patient care.

  • Oversee the on-site dental laboratory, including quality control, productivity, organization, equipment maintenance, and cleanliness.

  • Supervise and support the office team, including scheduling, patient flow, office organization, maintenance, and cleanliness.

  • Ensure compliance with applicable legal, regulatory, and practice requirements, including accurate patient records and adherence to OSHA and HIPAA standards.

  • Develop and support the dental team by fostering positive working relationships, promoting accountability, and coordinating schedules to meet daily production and patient-care goals.

  • Motivate team members and proactively identify opportunities to improve patient experience, team performance, office efficiency, and practice growth.

  • Oversee front- and back-office operations, including daily workflow, employee relations, patient relations, performance management, and achievement of operational goals.

  • Support revenue and production goals by overseeing patient scheduling, staff productivity, treatment planning coordination, and case acceptance processes.

  • Partner with the Doctor and patients to facilitate completion of prescribed treatment plans. Identify and address barriers to treatment, communicate clinical questions to the Doctor, and educate patients regarding insurance benefits and available payment and third-party financing options.

  • Address and resolve patient concerns and complaints in a professional, compassionate, and timely manner.

  • Monitor key practice performance indicators and take appropriate action to improve productivity, efficiency, patient retention, and overall practice performance.

  • Perform other duties and responsibilities as assigned.

EDUCATION & EXPERIENCE REQUIREMENTS

  • High school diploma or equivalent required; additional education or training in business, healthcare administration, or a related field preferred.

  • 1–3 years of supervisory or management experience preferred.

  • Prior experience in a dental or healthcare office is strongly preferred.

GENERAL KNOWLEDGE, SKILLS & ABILITIES

  • Strong interpersonal, leadership, management, and relationship-building skills.

  • Excellent written and verbal communication skills.

  • Ability to lead, coach, motivate, and hold team members accountable.

  • Strong organizational skills with the ability to prioritize multiple responsibilities in a fast-paced environment.

  • Familiarity with dental office procedures, terminology, and practice management is preferred.

  • Strong computer skills and the ability to quickly learn and effectively use new software and technology.

  • Knowledge of dental treatment planning, case presentation, and case acceptance processes preferred.

  • Strong understanding of marketing, patient retention, and practice growth strategies.

  • Results-oriented, competitive, and entrepreneurial mindset with a strong drive to achieve and exceed goals.

  • Demonstrated ability to improve treatment plan acceptance and contribute to increased production and practice growth preferred.

  • Strong customer-service orientation and commitment to providing an exceptional patient experience.

  • Ability to exercise sound judgment, maintain confidentiality, and handle sensitive patient and employee matters professionally.
