Full job description

Human Resources Generalist

Under the guidance of the Director of Human Resources, the generalist carries out responsibilities in the following functional areas: recruitment/employment onboarding, benefits administration, employee relations, training, and employment law compliance. This position requires an extremely perceptive person who is capable of relating to individuals at all levels within the organization. The HR Generalist must be sensitive to serving the University needs with the objective of supporting administration and employee goodwill.

Essential Roles and Responsibilities Include:

  • Recruitment: Facilitates the recruitment efforts of the University to include managing Position Justification Forms, job descriptions, and job postings; ensures appropriate documents and approvals are on file before a position is posted; reviews Hiring for Mission documents for all final candidates before moving them forward; coordinates with hiring manager(s) to determine best recruiting process for position(s) to identify and attract quality candidates; manages candidate activity in the applicant tracking system (ATS); conducts new-employee onboarding; performs background checks.

  • Employee Relations: Answers employee questions and gives guidance on policy; Conducts exit interviews, analyzes data, provides recommendations to senior leadership as warranted. Handles regular communication updates on my.umary.edu and sending out emails to notify employees of events.

  • Responsible for issuing annual appointment renewals for administrative staff, part and full time faculty, and coaches.

  • Benefits Administration: Monitors employee eligibility for benefits plans. Reviews benefits with employees and processes enrollment, cancellation or changes. Organizes and manages annual open enrollment communications and election process in collaboration with USI and WPS partners. Maintains WPS system with new and cancelled employees. Handles leave requests and FMLA notices.

  • Maintains human resource information system records and compiles reports from the database (Jenzabar, Balanced Comp ,Vector Solutions, JazzHR, benefits enrollment portal, Bravera 403b; serves as the liaison between HR and IT. Maintains the Hire/Term/Status Change spreadsheet for the HR/Payroll department.

  • Maintains compliance with federal, state and local employment and benefits laws and regulations; Assists with employee personnel files as necessary; Ensures compliance with USCIS Form I-9 Employment Eligibility Verification; periodically audits Forms I-9. Updates name and address changes.

  • Manages the following events: GA Luncheon, New Employee Orientation, Lunch and Learns, Regents and Service Awards. Assist Director of HR in the daily administration of other HR services as assigned including various research and/or special projects; Serves on various committees on behalf of HR, including the Data Standards Committee.

Desired Minimum Qualifications, Education, and Experience Include:

  • Required: Bachelor’s degree in human resources or other related field or equivalent professional experience

  • Preferred: HR certification (PHR, SPHR, SHRM-CP, SHRM-SCP) strongly preferred

  • Required: Two or more years of HR or related experience with demonstrated skills in recruitment, benefits administration, and/or general HR work; strong proficiency in Microsoft Office, especially Outlook, Word, and Excel

  • Preferred: Five or more years HR generalist experience; HR certification credential (PHR, SPHR, SHRM-SCP or SHRM-CP); proficiency with HR management systems or similar technology

  • Supports the ongoing implementation of Ex Corde Ecclesiae, the apostolic constitution on Catholic colleges and universities.

  • Builds a culture of ready and earnest hospitality in the Office of Human Resources and throughout the university, in accord with Saint Benedict’s admonition that all be received as Christ.

Knowledge and Skills Required:

  • Demonstrated knowledge of applicable laws, regulations, and policies related to human resources

  • Ability to relate and communicate with all levels of employees through excellent listening and communication skills that engender trust and support

  • Ability to work well both independently and as part of a team

  • Ability to maintain confidentiality

  • Ability to research and analyze various types of data information

  • Ability to organize and prioritize work

  • Demonstrated experience/maturity to handle confidential and sensitive information
